Role Overview
This is an excellent opportunity for a highly organised and proactive Administrative Team Assistant to support the Corporate Affairs function, including the Group Director of Corporate Affairs, Group Head of Marketing & Communications, and Group Head of Investor Relations.
The role will primarily focus on providing high-quality administrative and organisational support, while also offering exposure to event administration and coordination. Working closely with the Group Events Manager, you will support the planning and delivery of a range of internal and external events, developing your skills and experience in this area over time.

Role Responsibilities
Diary and Schedule Management
Efficiently coordinate and manage the calendars of senior team members, ensuring optimal use of their time.
Organise meetings, appointments, and conference calls, handling all logistical details with precision.
Prepare and distribute agendas, minutes, and follow-up actions to ensure seamless meeting execution.
Event Administration and Coordination
Support the Group Events Manager with the coordination and delivery of corporate events, including conferences, internal meetings, and external engagements.
Assist with event administration tasks such as maintaining attendee lists, managing registrations, preparing name badges, coordinating materials, and supporting on-the-day logistics.
Liaise with venues, suppliers, and internal stakeholders to support event planning activities.
Ensure accurate tracking of event details, timelines, and budgets.
Opportunity to take on increased responsibility for smaller events over time as experience develops.
General Administrative Support
Manage incoming and outgoing communications, including emails, phone calls, and correspondence, with professionalism and discretion.
Maintain organised departmental files and records, ensuring easy access to critical information.
Prepare polished reports, presentations, and documentation that support the team’s strategic objectives.
Travel and Logistics Coordination
Arrange detailed travel itineraries, including accommodations, transportation, and schedules, ensuring all plans align with company policies and budgets.
Proactively resolve any travel-related issues to ensure smooth journeys for team members.
Communication and Stakeholder Engagement
Serve as a central point of contact for internal and external stakeholders, fostering positive relationships.
Facilitate clear and efficient communication within the Corporate Affairs team and across other departments.
Ad-Hoc Support
Experience / Competences
Essential
Proven experience in an administrative or team support role, ideally supporting senior leadership.
Experience in event coordination, inclusive of event administration (e.g. name badges, attendee lists etc.).
Strong organisational skills with the ability to manage multiple tasks, prioritise effectively, and meet tight deadlines.
Excellent written and verbal communication skills, with a professional and approachable demeanour.
Experience coordinating complex diaries, meetings, and travel arrangements.
Strong attention to detail and accuracy in all tasks, including document preparation and record management.
Ability to handle confidential information with discretion and maintain a high level of professionalism.
Demonstrated ability to work both independently and collaboratively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
Desired
Exposure to event administration or coordination (e.g. assisting with events, managing attendee lists, or supporting logistics).
Interest in developing a career within event coordination or corporate functions.
Familiarity with travel booking or scheduling tools.
Exposure to working with internal and external stakeholders at various levels of an organisation.
