Full job description

Location: Remote (Ideally based in London or the surrounding counties)Hours: 20 hours per week, Monday, Wednesday and Friday (Flexible working hours to be agreed)

We are a growing HVAC, plumbing and mechanical services company looking for an experienced and proactive Part-Time Administrator to support the day-to-day running of our business.

This is a fully remote position, however applicants should ideally be based in London or the surrounding counties to allow for occasional meetings or site visits if required.

Key Responsibilities

Managing incoming telephone calls and emails.
Scheduling engineers and coordinating appointments.
Liaising with clients, property managers and suppliers.
Preparing quotations, invoices and professional job reports.
Maintaining accurate job records and updating internal systems.
Ordering materials and monitoring supplier deliveries.
Following up outstanding quotations and customer enquiries.
General administrative support to help ensure the business operates efficiently.

About You

The ideal candidate will:

Have previous administration experience (experience within HVAC, construction, engineering or facilities management is highly desirable).
Be highly organised with excellent attention to detail.
Be confident communicating with clients by telephone and email.
Be able to prioritise workloads and work independently.
Have strong IT skills, including Microsoft Office, and be comfortable learning new software.
Be reliable, trustworthy and able to maintain confidentiality.
Have a positive, proactive approach with excellent problem-solving skills.
