Job overview

We install air conditioning across London under two brands and have been doing it for over ten years. The work is good; the paperwork behind it is not. Over five years we asked clients for money and then, in most cases, never asked again — no reminder, no statement of account, no second letter. We have now reconciled every bank statement since 2021 against every job, so for the first time we know exactly which balances were never paid, which were paid under a name nobody recognised, and which were held back because something on site needed putting right.

That work is done. What we need now is a person to collect the money.

This is a two-month fixed-term contract, around three days a week. It is not a call-centre chasing script. Each case is a property, a client we may work with again, and a file of correspondence that has to be read before anything is sent. Several clients we had recorded as debtors turned out to have paid — reading first is the job, not an optional courtesy.

What you will actually do

Work through a prepared queue of unpaid balances, largest and oldest first, each one already reconciled against the bank statement.
Read the correspondence for a job before contacting anyone, and confirm the debt is real: what we quoted, what we invoiced, what arrived, and what the client last said.
Issue the first demand by email, then follow it up on a fixed rhythm rather than when someone remembers.
Handle the replies: agree payment dates, set up instalments where that gets the money in, and check every claim of "we paid that" against the statement before accepting or rejecting it.
Raise the invoices we never sent. A number of finished jobs were never invoiced for the balance at all — that is our omission, and it is the easiest money in the book.
Separate out the disputes: where a client is withholding payment over a fault, bring it to us to schedule the repair rather than escalating it.
Escalate what deserves escalating: Letter Before Action under the Pre-Action Protocol for Debt Claims, then Money Claim Online where the sum justifies it.
Record every step in our system with the evidence attached, so the file stands up later.
Report weekly: collected, promised, disputed, written off, and what changed.

The system you will work in

We have built a panel for this. It holds every job, the full email history for each property, the bank statements line by line, and an audit that tells you whether a balance actually arrived. You will not be reconstructing anything from spreadsheets. You do need to be comfortable living in a system all day and keeping it accurate, because the next person's decisions will rest on what you record.

What we are looking for

Previous credit control, accounts receivable or debt recovery experience — ideally in construction, trades, or another business where jobs run in stages and disputes are about workmanship rather than product returns.
Confident in a CRM or a bespoke system; happy to be shown a tool once and then own it.
Able to read a long email thread and work out what actually happened.
Firm and courteous in writing. Our clients are homeowners and small businesses, most of them reasonable, some of them still customers.
Working knowledge of the Pre-Action Protocol for Debt Claims, and of the Late Payment of Commercial Debts (Interest) Act 1998, is a strong advantage.

Practicalities

Two-month fixed-term contract, with extension possible if the results justify it.
Around 20–24 hours a week, days flexible.
Remote, with a call at the start and the end of each week.
£16–20 an hour depending on experience, plus a performance bonus on what you recover plus a bonus of 2% of the funds that have been collected
Start as soon as you are available.

How you will be measured

Cash collected, and the accuracy of the record you leave behind. We would rather you closed forty cases properly than sent two hundred letters.

Pay: £16.00-£20.00 per hour
