As Executive Assistant to our CEO, you'll play a central role in helping shape the day-to-day rhythm of the London Clinic. You'll be the person who keeps priorities moving, builds connections across the business, and ensures that every interaction, meeting and event is delivered with professionalism and care.
This is a highly visible position where you'll work closely with senior leaders, clinicians, Trustees, consultants and external partners, becoming a trusted ambassador for the Executive Office and an integral part of the London Clinics success.
A little about the role
We are looking for someone who genuinely enjoys bringing order to complexity, building relationships and creating exceptional experiences for colleagues and stakeholders alike.
Working alongside our CEO, you'll manage a busy and ever-changing schedule, coordinate key meetings and events, and act as a central point of contact for a wide range of internal and external stakeholders. No two days will be the same. One day you might be coordinating an executive leadership event, the next supporting preparations for Board discussions, organising stakeholder dinners, or ensuring important actions are followed through to completion.
You'll have the opportunity to work right at the heart of the organisation, gaining unique exposure to strategic decision-making while helping ensure the Executive Office operates smoothly and effectively. Success in this role comes from anticipating needs, thinking ahead, maintaining absolute discretion and building trusted relationships with people at every level.
What you'll be doing
- Proactively managing a complex and fast-moving CEO diary, ensuring priorities are balanced effectively.
- Coordinating executive meetings, leadership events, away days and stakeholder engagements.
- Building strong relationships with Trustees, consultants, senior leaders and external partners.
- Preparing agendas, presentations, briefing materials and meeting documentation.
- Organising high-profile dinners and events, overseeing all planning and logistics.
- Acting as a key point of contact on behalf of the CEO.
- Tracking actions and commitments to ensure timely follow-up and delivery.
- Supporting Board and Executive governance activities as required.
- Coordinating travel arrangements and detailed itineraries.
- Managing sensitive and confidential information with professionalism and sound judgement.
- Identifying opportunities to improve administrative processes and efficiencies.
- Supporting the smooth day-to-day operation of the Executive Office.
What are we looking for?
We're looking for an experienced Executive Assistant who combines exceptional organisational skills with warmth, professionalism and the confidence to engage with stakeholders at all levels.
You'll bring:
- Previous experience supporting a CEO, Executive Director or senior executive.
- Outstanding diary management and coordination skills.
- Strong stakeholder management and relationship-building capability.
- The ability to remain calm, organised and professional when managing competing priorities.
- Excellent communication skills, both written and verbal.
- A proactive approach with the confidence to anticipate needs and solve problems.
- Exceptional attention to detail and organisational ability.
- High levels of integrity, discretion and sound judgement.
- Strong Microsoft 365 and digital collaboration skills.
- Experience preparing meeting packs, presentations and executive-level documentation.
Healthcare experience would be advantageous but is not essential.
