Job Title: Purchasing Manager (UK Properties)
Reports To: Cluster General Manager
Direct Reports: Administration Manager
Location: Southampton area (properties within 20 minutes)
This is a new role designed to centralise and manage purchasing, inventory and stores of the properties ensuring efficient buying, accurate stock control, secure and compliant storage and consistent processes across all sites.
Key Responsibilities
Procurement & Purchasing
- Negotiate pricing and delivery terms to ensure best value.
- Source and maintain supplier relationships.
- Obtain quotes and compare suppliers.
- Support the raising and managing of purchase orders, ensuring approvals and timely deliveries.
Physical Organisation of Stores
- Design and enforce store layout (zones for dry goods, beverages, linen, cleaning, maintenance).
- Implement and support FIFO/FEFO stock rotation.
- Oversee the labelling and organisation of shelving, segregating high value items.
Goods Receiving
- Designate receiving areas at each site.
- Support the properties on deliveries, checking against PO and delivery note.
- Oversee the recording of batch numbers, expiry dates, and quantities.
Stock Control
- Oversee and Issue stock only against approved requisitions.
- Manage the logging of all movements in system/spreadsheets.
- Daily/weekly checks on fast moving or high value items.
- Monthly and quarterly cycle counts, and annual stocktake.
Security & Compliance
- Limit access to storerooms to authorised staff.
- Oversee and ensure clear control mechanisms for alcohol and high value stores.
- Comply with HACCP for F&B, COSHH for chemicals, and H&S signage requirements.
Process Standardisation
- Oversee and develop SOPs for goods receiving, stock issuing, requisitions, transfer, wastage, usage and stock counts
- Oversee the administration manager to Introduce standard forms: Goods Received Notes, Requisition Forms, Inventory Count Sheets etc.
- Implement one centralised system or shared master spreadsheet.
Oversight & Reporting
- Set par levels and reorder points for each property.
- Audit all stores monthly for accuracy, organisation, and hygiene.
- Report regularly to the Cluster General Manager and Finance Officer on KPIs: shrinkage %, stock accuracy %, turnover, expired stock.
Desirable
3+ years in purchasing, inventory, or stores management
Hospitality / F&B experience
Strong organisational and attention-to-detail skills
CIPS or supply chain qualification
Confidence in supplier negotiation and communication
Multi-site operations experience
IT competence (Excel; stock systems a plus)
Experience introducing SOPs
Able to travel between the sites with a clean driving license
Pay: £30,000.00-£37,000.00 per year
