Bright Beany is a Nottingham-based virtual finance department and accounting practice registered with the ICAEW. We provide bespoke, hands-on finance and accounting services to small and growing businesses, from day-to-day bookkeeping through to strategic financial support. Our mission is simple: make a real difference to small businesses.
We are not a traditional accountancy practice. We operate as an embedded finance partner for our clients, working across the full breadth of accounting and finance – bookkeeping, payroll, insightful management reporting, forecasting and budgeting, compliance, tax and advisory. The Role
This role keeps everything running smoothly behind the scenes while being a friendly first point of contact for our clients. You’ll be the connection between our clients, our team and other organisations – making sure information flows, deadlines are met, and clients feel looked after from the very first conversation.
Because we work as an embedded finance department rather than a traditional practice, this is a broad role with real variety. You’ll see how a modern accounting firm runs from the inside, and you’ll have a genuine say in how we improve it.
Key Responsibilities
Client Onboarding and Compliance
· Manage the onboarding of new clients from first contact through to go-live, making the process feel simple and well organised.
· Preparing anti-money laundering and client due diligence checks, keeping records complete.
· Prepare and issue engagement letters and supporting documentation, and track them through to signature.
· Handle professional clearance and handover with outgoing accountants, chasing information and keeping the transition on track.
· Manage HMRC and Companies House administration, including agent authorisations, client detail updates and confirmation statements.
Client Communication and Relationships
· Be the first friendly voice our clients hear, building trust from the very first interaction.
· Communicate professionally by email, telephone and video call, and keep clients updated on progress.
· Request information, follow up outstanding queries and make sure nothing is left waiting.
· Coordinate diaries and meetings – scheduling calls, issuing reminders and pulling together the documents or reports needed.
· Handle client and business information accurately, professionally and confidentially at all times.
Practice Administration and Data
· Maintain our client database and practice management records so they are accurate, current and reliable.
· Monitor deadlines and workflow, flagging anything at risk before it becomes a problem.
· Manage shared inboxes, correspondence, letters and forms, and provide general administrative support to the team.
· Spot anything that looks out of place in our records or processes and raise it early.
Systems and Continuous Improvement
· Work confidently in our digital toolset, including Xero, Dext and our practice management and workflow systems.
· Identify and suggest ways to make our processes smoother, faster and clearer for clients and colleagues.
· Help document and embed new ways of working as the practice grows.
· Take increasing ownership of your areas as your knowledge and confidence develop.

Skills and Experience
· Previous office-based administrative experience – a professional services or accountancy practice background is ideal but not essential.
· A natural organiser with strong attention to detail and the ability to manage competing deadlines.
· Clear and professional written and verbal communication skills.
· Client-facing experience and confidence in building relationships.
· Tech-savvy and comfortable learning new systems – experience of Xero, Dext or practice management software is an advantage (we love automation).
· Trustworthy and discreet when handling confidential client information.
· A proactive, can-do approach and the resilience to keep several plates spinning.

As your knowledge and confidence develop you’ll take on greater ownership – whether that is leading our onboarding process end to end, taking responsibility for practice systems and workflow, or supporting new team members as the firm expands.
