Purpose of the role:
We are looking for someone who has a proactive nature and takes pride in keeping things organised, invoices moving, and credit notes under control. You’ll help make sure our purchase ledger runs smoothly, support the Financial Accountant and Finance Director with daily/occasional tasks, with the opportunity to take on more responsibilities as you develop into the role. This role will report to the Finance Director.
Responsibilities:
Accounts Assistant:
- Ensuring all Purchase Ledger invoices and Credit notes are approved, coded and processed into SAP B1.
- The matching of Goods Receipt Purchase Order (GRPOs) with stock invoices. Liaising with Warehouse/Purchasing to deal with any shortage queries and arranging credit notes.
- Chasing the Purchasing Department for credit notes that relate to any open goods returns.
- For non-stock invoices, dealing with queries and ensuring invoices are approved.
- Ensuring statements are received monthly from suppliers, especially our key suppliers
- Reconciling statements to our Purchase Ledger.
- Receiving calls from suppliers and liaising with the Financial Accountant concerning payment.
- Ensuring the Purchase Ledger is kept up to date and ensuring any open payments have a corresponding VAT invoice when upfront payments are made.
- Handle sensitive financial information with discretion.
- From time to time assist the Financial Accountant with any Month End processes, for example Credit Card reconciliations, Expenses and Debtor Chasing when/if required.
Office Administration:
- Answering external telephone calls within normal working hours.
- Filing both Accounts and General Administration paperwork.
- Ad hoc ordering and other administrative tasks as required
- Taking customer payments over the phone via a WorldPay portal.
Essential Requirements
- Minimum 2 years purchase ledger experience.
- Proficient understanding of accounting software and use of Excel.
- Ability to work to deadlines, particularly at month end.
- Proactive nature and works well within a team and independently.
- Good communication skills written and verbal, internally and externally.
- High level of accuracy and attention to detail.
- Access to a car is a must due to our remote location. No access via public transport.
Desirable Additional Attributes
- SAP B1 - (highly preferred)
- TrailD – preferred but not essential
- Manufacturing industry experience – preferred but not essential
Salary:
Full time annual salary: £27,000-29,000
Actual annual salary: £14,400–£18,125

Hours & Days:
Hours: 20-25 hours per week
Days: Mon – Thurs
This role is based in the office 4 days a week during your 3 month probation period.
After successful completion of the probation period, you may be permitted to work from home 1 day per week.

Annual Leave:
Starting at 23 days + bank holidays (pro rata based on full time)
Increasing by 1 year each year, up to a maximum of 25 days.
