We are looking for a full-time Junior Paralegal to join our Commercial Property Team. Our working ours are Monday to Friday 9am to 5.15pm with one hour for lunch.
No previous legal experience is necessary as full training will be given. However with the main focus on onboarding our clients, previous experience working in professional services and having an excellent telephone manner is essential for this role.
Job Purpose: Provide a high standard of support to the Commercial Property Department and deal with new enquires and the onboarding of clients.
Key Responsibilities:
New Enquiries & Onboarding
- Initial point of contact for all new telephone enquiries.
- Dealing with any new enquiries into the business, as far as possible (‘prospects’). Also be responsible for following up on quotes issued by the department.
- Issue any quotes where standardised fees apply
- Open all new files via NM1s in P4W (case management system)
- Issue initial paperwork to the client
- Running AML checks against the client
Other Duties:
- Accurately process correspondence and documents as directed by your immediate supervisor and in accordance with established department processes.
- Liaise with existing and potential clients, estate agents, brokers and other solicitors by telephone, email and face to face in a professional manner.
- Accurately record messages, manage diary appointments as and when required.
- Deal with filing, storage and retrieval of client's files, title deeds and other documents as and when required and in accordance with the firms’ procedures.
- Deal with all accounting and financial matters in accordance with recognised procedures.

- Drafting first drafts of legal correspondence
- Preparing and submitting SDLT forms
- Assist with preparation of invoices and completion statements
- Assist with setting up files for completion and the payment of completion money and invoices
- Assisting with post-completion formalities including land registry applications and requistiosns
- Assisting with all aspects of the due diligence process and AML requirements
- Ensure all emails/correspondence is dealt with timely
- Actively support the firm in its marketing initiatives (including initiatives relating to areas of work other than your own), and to generally project the right image of the firm.
- Actively support the firm in its internal development, and contribute to the development and implementation of administrative procedures and techniques, contribute to departmental initiatives and developments, and the creation of a sense of team spirit at departmental and firm-wide level.
- Liaise and conduct yourself in a professional manner at all times.
General
- Adhere to all internal administrative procedures as laid down in the firm's Office Manual, and other formal manuals, procedures and guidelines or otherwise notified by the Board, and in accordance with the ISO/Lexcel Quality Standard. - Attend training or refresher courses including Cybercrime and Money Laundering and attend any internal meetings, as and when required by the firm.

Skills and Experience Required
Suitable candidates will:
- Have excellent telephone manner;
- have previous experience working in professional services;
- have excellent communication skills;
- have previous customer service experience;
- be pro-active and highly motivated, with the ability to work alone or as part of a wider team;
- have the ability to work under pressure, prioritise, manage time effectively and have excellent attention to detail;
- be a team player, a practical problem solver, dedicated and of a professional appearance;
- have good IT skills and a working knowledge of MS Word and Outlook.
