Financial Controller and HR admin Job Description
Location: Hybrid (minimum 1 day per week in the office in Wimbledon Village, London)

The Family Treatment Service is a not-for-profit, multidisciplinary mental health clinic
based in Wimbledon Village. We provide high-quality, evidence-based care for adults,
children, families and schools, with a strong emphasis on compassion, accessibility and community impact.
Also part of The Family Treatment Service, our new clinic, Wimbledon Medical Service, is an independent private GP practice, designed to integrate physical and mental healthcare in one supportive, patient-centred setting.
The Role
We are seeking an ambitious and commercially minded Finance Controller to join our growing business. This is a hands-on end to end role for an ACCA or ACA qualified accountant with full responsibility for data entry and reconciliations right through to management accounts, forecasts and cash flow modelling. Strong Xero knowledge is a must.
The successful candidate will take responsibility for the day-to-day financial management of the organisation, including management accounts and external compliance, while also providing HR Co-ordination and Administration support to the Managing Director.
This role would suit someone who enjoys working in a SME environment and is comfortable managing multiple responsibilities across finance and HR.
Key ResponsibilitiesFinance Management
- Full responsibility for the day-to-day finance operations of the organisation, including data entry, sales ledger, purchases ledger and bank reconciliations.
- Full monthly reconciliation of the trial balance, maintaining additional balance sheet reconciliation schedules as appropriate
- Prepare and build fit for purpose monthly management accounts and financial reports
- Support the MD to conduct an annual financial budget preparation process
- Produce rolling forecasts and variance analysis to support the decision making of the MD
- Maintain accurate financial records and ensure compliance with accounting standards
- Prepare quarterly VAT returns and statutory filings
- Liaise with external accountants, auditors, banks, and advisors
- Liaise with external financial consultants (including those of the investor)
- Lead the year-end accounts preparation processes
- Monitor financial controls and identify opportunities for process improvement
- Use Xero accounting software to maintain and improve financial reporting accuracy and efficiency
HR Co-ordination & Administration
- Maintain accuracy of employee records and HR documentation in HR software system
- Assist with HR policies, procedures, and compliance documentation
- Ensure accuracy of holiday, absence, and training records in the HR software system
- Manage the payroll process and pension administration
- Act as a point of contact for general HR administrative queries
- Liaise with external HR advisors as required by management
Finance KPIsMonthly Reporting
- Monthly management accounts completed by agreed deadline (e.g. within 7 working days)
- Trial Balance reconciliations completed monthly
- Accurate profit and cash flow forecasting and variance analysis maintained
Financial Control
- VAT returns submitted accurately and on time
- Payroll completed without errors
- Debtor days and creditor days maintained within targets
- Completion of statutory accounts within an agreed timeframe
- Fit for purpose financial processes
Budget & Commercial
- Annual budget prepared on schedule
- Monthly variance analysis provided with actionable commentary
- Support management with profitability analysis and cost control
Systems & Process Improvement
- Improve efficiency and automation within Xero
- Develop finance reporting dashboards
- Develop financial budgets, management accounts and rolling forecast variance analysis
- Maintain strong financial controls and documentation
HR Co-ordination & Administration KPIsProvide administrative support for HR processes. This includes:
- Employee records maintained accurately and compliantly
- Leaver administration completed promptly
- HR documents and policies kept up to date in accordance with the requirements of our external HR advisor.
- Holiday and absence records maintained accurately
- Support GDPR and employment compliance requirements as required by the external HR advisor.
About youEssential
- ACCA or ACA qualified and experienced
- Approximately 5 years post-qualified experience in a similar role
- Strong experience using Xero
- Experience of preparing management accounts and financial reporting in a SME environment
- Experience of supporting MDs with data analytics, cash and profit forecasting and budget building
- Strong working knowledge of UK VAT (including partial exemption), payroll, and accounting standards
- Excellent organisational and administrative skills
- Strong spreadsheet (including v look ups) and IT skills
- Ability to work independently and manage multiple priorities
- Problem solving, hands on attitude
- Excellent communication and interpersonal skills
