Responsibilities
- Processing and recording purchase invoices accurately and efficiently.
- Checking invoices against purchase orders and resolving any discrepancies.
- Coding invoices correctly and ensuring they are submitted for approval in a timely manner.
- Maintaining accurate and well-organised financial and administrative records.
- Filing, scanning and archiving invoices and other documentation.
- Liaising with suppliers regarding invoice queries, missing documentation and payment-related enquiries.
- Supporting the Purchase Ledger/Accounts team with day-to-day administrative duties.
- Maintaining an organised filing system, both electronic and paper-based.
- Handling incoming emails, telephone calls and general correspondence professionally.
- Updating spreadsheets, databases and internal systems accurately.
- Prioritising workload and managing multiple administrative tasks to meet deadlines.
- Assisting with data entry, document preparation and general office administration.
- Supporting colleagues and other departments with ad hoc administrative duties as required.
- Ensuring confidential and sensitive information is handled appropriately.
- Demonstrating strong attention to detail, organisation and time-management skills.

Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Drive), and basic data entry techniques.
- Prior clerical or administrative experience preferred but not required; training provided for the right candidate
- Excellent phone etiquette with the ability to communicate clearly and professionally
- Strong typing skills with high accuracy and speed
- Ability to multitask efficiently in a fast-paced environment while maintaining a positive attitude
- Knowledge of QuickBooks is a plus but not mandatory; willingness to learn is essential
