JOB TITLE AND OVERVIEW
We are seeking a highly organized and professional Personal Assistant to provide comprehensive support to one of our partners at NPS Law. This is an excellent opportunity for a motivated individual to work in a dynamic legal environment, managing a diverse range of responsibilities from office administration to client relations and recruitment coordination. The successful candidate will play a vital role in ensuring the smooth operation of the partner's practice and contributing to the overall efficiency of our Canary Wharf office.

KEY RESPONSIBILITIES AND DUTIES
The Personal Assistant will be responsible for a varied workload, including but not limited to:
Office Administration
· Managing the partner's diary, scheduling meetings, and coordinating appointments
· Handling correspondence, including emails, letters, and telephone calls
· Preparing, formatting, and proofreading documents and presentations
· Organizing travel arrangements
· Coordinating internal meetings and preparing meeting materials
Client-Facing Duties
· Providing a professional first point of contact for clients visiting the office
· Scheduling client appointments and managing meeting room bookings
· Liaising with clients on behalf of the partner in a courteous and professional manner
· Ensuring client confidentiality and maintaining discretion at all times
Recruitment and Headhunting Activities
· Coordinating with external recruiters and headhunters
· Managing candidate communications and scheduling interviews
· Maintaining recruitment databases and tracking candidate progress
· Assisting with the preparation of job specifications and recruitment materials
· Supporting the onboarding process for new team members
General Support
· Prioritizing and managing the partner's workload and deadlines
· Anticipating needs and taking initiative to resolve issues proactively
· Supporting other team members and partners as required
· Undertaking ad hoc projects and administrative tasks as needed
PERSON SPECIFICATION AND REQUIREMENTS
Essential Requirements
· Exceptional organizational and time-management skills with the ability to prioritize multiple tasks
· Excellent written and verbal communication skills
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
· Strong attention to detail and accuracy
· Ability to work effectively under pressure and meet tight deadlines
· Professional demeanor with excellent interpersonal skills
· Discretion and ability to handle confidential information appropriately
· Proactive approach with strong problem-solving abilities
· Flexibility and adaptability to changing priorities
Desirable Requirements
· Previous experience as a Personal Assistant, ideally within a legal or professional services environment
· Knowledge of law firm operations and legal terminology
· Background or experience in recruitment or HR coordination
· Experience in a client-facing role
· Understanding of legal compliance and data protection requirements
· Familiarity with case management or legal software systems
