About Managing Estates
Managing Estates is a growing residential property management company providing professional management services to developments across the UK. As the business continues to grow, we are looking for an experienced and highly organised HR & Payroll Administrator to support our employees and management team.
This is a hands-on role covering payroll administration and the day-to-day HR requirements of the business. You will work closely with our Directors and management team and will be supported on more complex HR matters by our external HR consultants, HR People Support.
The Role
The HR & Payroll Administrator will take responsibility for the accurate and timely administration of our payroll and provide day-to-day HR support across the company.
The successful candidate will be organised, approachable and confident dealing with confidential employee information. You will need previous payroll experience and experience using Sage is essential.
The role is ideal for somebody who enjoys taking ownership of HR administration while having access to professional HR consultancy support when dealing with more complex employment matters.
Key ResponsibilitiesPayroll
- Manage and process the company's monthly payroll accurately and on time using Sage Payroll.
- Process starters, leavers, salary changes, overtime, bonuses, deductions, unpaid leave and other payroll adjustments.
- Maintain accurate employee payroll records.
- Calculate and process holiday pay, statutory sick pay, maternity/paternity pay and other statutory payments.
- Process pension contributions and ensure accurate pension records are maintained.
- Deal with payroll queries from employees in a professional and timely manner.
- Prepare and issue relevant payroll documentation, including P45s and other statutory documents.
- Ensure payroll information is accurately reconciled and provided to the Finance team where required.
- Liaise with HMRC and pension providers where necessary.
- Maintain appropriate payroll records and ensure compliance with statutory requirements and internal procedures.
HR Administration
- Maintain accurate and confidential employee personnel records.
- Manage the administration associated with new starters and leavers.
- Prepare employment contracts, offer letters, contractual amendments and other HR correspondence.
- Coordinate employee onboarding and ensure all required documentation is completed.
- Undertake and maintain Right to Work checks and associated records.
- Monitor probationary periods and ensure managers complete probation reviews on time.
- Maintain records relating to holidays, sickness, absence and other leave.
- Support managers with return-to-work processes and absence monitoring.
- Assist with maternity, paternity and other family-related leave administration.
- Maintain the company's HR systems and employee records.
- Ensure employee documentation and personnel files remain accurate and up to date.
Recruitment & Onboarding
- Assist managers with recruitment administration.
- Prepare and post job advertisements.
- Coordinate interviews and communicate with candidates.
- Issue offers of employment and contracts.
- Obtain references and complete pre-employment checks.
- Coordinate induction and onboarding arrangements for new employees.
- Ensure new starters are correctly established on HR, payroll and pension systems.
Employee Relations & HR Support
- Act as a first point of contact for routine employee HR queries.
- Provide managers with administrative support for HR matters.
- Assist with disciplinary, grievance, capability and absence-management processes.
- Prepare meeting invitations, correspondence and supporting documentation.
- Take accurate notes at HR meetings where required.
- Liaise with our external HR consultants, HR People Support, where professional HR advice or additional support is required.
- Ensure advice received from HR People Support is appropriately implemented and documented.
- Escalate complex or sensitive HR matters to Directors and/or HR People Support rather than attempting to manage them without appropriate support.
Policies, Compliance & Reporting
- Assist with maintaining and updating company HR policies and procedures.
- Monitor key HR dates including probation reviews, contract changes and other employee milestones.
- Maintain appropriate records to support employment law and GDPR compliance.
- Produce HR and payroll reports for the Directors and management team when required.
- Assist with monitoring sickness, absence, staff turnover and other HR metrics.
- Support the continued development of efficient HR and payroll processes as the company grows.
Essential Experience & Skills
The successful candidate must have:
- Previous experience in a payroll and/or HR administration role.
- Practical experience using Sage Payroll and Sage HR.
- Experience processing payroll from start to finish.
- A good understanding of PAYE, National Insurance, statutory payments and workplace pensions.
- Experience maintaining confidential employee records.
- Strong administrative and organisational skills.
- Excellent attention to detail and numerical accuracy.
- Good written and verbal communication skills.
- Confidence communicating with employees and managers at all levels.
- Good Microsoft Office skills, particularly Outlook, Word and Excel.
- The ability to manage competing deadlines and work independently.
- A professional approach to handling confidential and sensitive information.
Desirable
It would be beneficial, although not essential, to have:
- Previous experience in a combined HR and payroll position.
- CIPD qualification or progress towards a CIPD qualification.
- Experience within property management, facilities management or another multi-site business.
- Experience supporting employees working across different locations.
- Experience with TUPE administration.
- Experience assisting with disciplinary, grievance and absence-management processes.
- Knowledge of current UK employment legislation.
The Person
We are looking for someone who is organised, dependable and comfortable taking ownership of their responsibilities.
You should have a strong eye for detail, particularly when dealing with payroll, while also being approachable and able to communicate effectively with employees.
You will not be expected to be an employment-law expert. More complex HR matters will be supported by HR People Support, but you will need to recognise when an issue should be escalated and be capable of coordinating the administrative side of the process.
