Job Overview
We are looking for an enthusiastic and experienced Receptionist/Centre Co-Ordinator to proactively manage an active and engaged community of tenants to ensure the smooth and safe running of the site.
Responsibilities
The post holder will be responsible for a range of tasks, including but not limited to:
- Ensuring excellent customer experience and service for all users and visitors to the Centre and managing guest systems access.
- Overseeing of the soft and hard services such as cleaning and M&E on site by regular contractor liaison.
- Ensuring reactive repair tickets are logged and completed by contractors.
- Ensure all site works are completed in a safe and controlled manner adhering with H&S legislation.
- Raising purchase orders.
- To support the Lab Manager with ad hoc tasks as and when required.
- Building strong relationships with tenants and day to day communication and engagement.
- Leading and overseeing the provision of facilities support to Centre users, ensuring effective support for booking meeting rooms, setting up AV equipment for presentations and video/teleconferencing.
- Onboarding new tenants, issuing security passes.
- Managing the Centre email account and responding to all incoming general requests within 24 hours.
- Answering telephone queries, receiving and distributing mail, making arrangements for access and supervising deliveries.
- Liaising with the landlord building management team to include security, engineering and ground floor reception on updates, issues and escalations.
- Ensuring resources such as office and kitchen supplies and other materials are available and reordering these as/when required.
Requirements
- Experience of providing high quality customer service, being responsive and confident in dealing with customer needs
- Experience of managing community groups
- Competent IT skills including Outlook
- Efficient organisational and time management skills
- Excellent interpersonal and communication skills, written and verbal, including professional telephone manner
- Proactive, organised with ability to think ahead and anticipate needs before they arise
- Ability to deal with multiple enquiries simultaneously
- Ability to work effectively on your own as well as in a team, and to balance changing demands and competing priorities
- Approachable with willingness to help others
