We are looking for a highly organized and customer-focused Customer Service Administrator to support the customer service and administrative functions of the business. The successful candidate will be responsible for handling customer inquiries, processing orders, maintaining accurate records, coordinating with internal departments, and ensuring customers receive timely and professional support.
Key Responsibilities
- Respond to customer inquiries through phone, email, and other communication channels.
- Provide accurate information regarding products, services, orders, deliveries, and company policies.
- Process customer orders, quotations, invoices, and related documentation.
- Handle customer complaints and coordinate with relevant departments to resolve issues promptly.
- Maintain accurate customer records, databases, and filing systems.
- Track orders and follow up on deliveries, returns, and outstanding requests.
- Coordinate with sales, logistics, finance, and operations teams to ensure smooth customer service.
- Prepare reports, correspondence, and other administrative documents.
- Schedule appointments, service visits, or deliveries when required.
- Follow up with customers to ensure their requests and concerns have been resolved.
- Maintain a high level of professionalism and confidentiality when dealing with customer information.
- Identify recurring customer issues and escalate them to management when necessary.
- Support general administrative duties within the customer service department.
Requirements
- Diploma or bachelor's degree in Business Administration, Customer Service, or a related field.
- 2–4 years of experience in customer service, administration, or a similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Good problem-solving and customer-handling skills.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Experience with CRM, ERP, or customer service systems is an advantage.
- Ability to multitask and work effectively under pressure.
- Strong attention to detail and accuracy.
- Professional, positive, and customer-oriented attitude.
- Good English communication skills; additional languages are an advantage.
