Job Summary
We are seeking a proactive and organised Front Office Assistant to join our team on an initial part-time basis. The successful candidate will be the first point of contact for members and guests, providing exceptional customer service as well as administrative support. Working hours Mon - Fri 12noon - 5pm
Responsibilities
- Welcome members in a courteous and professional manner
- Answer phone calls promptly, demonstrating excellent phone etiquette
- Manage incoming and outgoing correspondence via email and postal services
- Maintain appointment schedules using Microsoft Office and Google Workspace applications
- Perform data entry tasks accurately
- Organise files, documents, and office supplies to ensure efficient workflow
- Ensure the members' area remains tidy and welcoming at all times
- Assist Managers with basic hospitality tasks as required
- Attend regular management meetings and produce minutes (occasional evening additional hours)
Qualifications
- Previous office or administrative experience is preferred but not essential; training will be provided
- Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Drive)
- Experience with data entry and record keeping is advantageous
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and accuracy
- Demonstrates professional phone etiquette and excellent communication skills
- Ability to work independently
- Well presented, utilising the highest standards of Customer Service
- Strong attention to detail and organisational ability are essential for success in this role
