Purpose of Role
Facilities Technician to provide administrative and operational support to the Facilities Management team and Client.
Job Description
Acting as a key point of contact, the role is responsible for coordinating maintenance activities, assigning tasks to the appropriate teams, monitoring progress, and ensuring service level agreements (SLAs) are achieved. Adherence to agreed working processes, planned and reactive maintenance regimes and health and safety requirements are all key parts of the role. Reporting to the Facilities Manager, the role will involve coordinating activities and supporting key internal and external stakeholders.
Responsibilities
- Answer main line calls and respond to customer queries/ requests in a professional and timely manner.
- Utilise the CAFM system (MAS) to assign, track, monitor, and update reactive and planned maintenance work orders.
- Where required raise sub-contractor instructions through the CAFM system.
- Proactively chase contractors and engineers to ensure works are completed within agreed Service Level Agreements (SLAs).
- Escalate overdue, high-priority, or critical issues to the Facilities Management team where necessary.
- Maintain accurate records and updates within the CAFM and contract management systems.
- Produce scheduled and ad hoc reports as requested by management and clients.
- Monitor contract performance and provide updates on outstanding works, SLAs, KPIs, and backlog activities.
- Highlight and escalate trends and performance issues to the Facilities Managers.
- Support the Facilities Management team with administrative and contractual activities.
- Ensure compliance with VINCI Facilities procedures, quality standards, and contractual requirements.
- Maintain professional and effective relationships with clients, contractors, suppliers, and internal stakeholders.
- Support continuous improvement initiatives to enhance service delivery and customer satisfaction.
- Monitor and manage shared mailboxes, ensuring correspondence is actioned or distributed appropriately.
- Support onboarding and administration activities for employees, contractors, and visitors where required.
Essential Qualifications/Skills
- Strong administrative, organisational, and coordination skills.
- Excellent verbal and written communication skills, with the ability to engage professionally with clients, suppliers, and internal stakeholders.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and Teams.
- Ability to prioritise workloads and manage multiple tasks effectively.
