Location: Birchwood Medical Practice
Birchwood Medical Practice has an exciting opportunity for a Finance Assistant to join our team on a part-time basis. We are looking for an organised and proactive individual with experience in finance administration, bookkeeping, or accounting software such as Xero.
Working closely with the Practice Management Team, you will play an important role in supporting the practice's day-to-day financial operations and ensuring processes are completed accurately and efficiently.
The role includes:
- Processing invoices and supplier payments
- Bank reconciliations using Xero
- Managing petty cash
- Monitoring cash flow
- Processing private patient fees
- Preparing VAT returns
- Banking
- Processing staff expenses
- Managing utility bills
- Paying invoices within agreed authorisation limits
- Supporting the Practice Manager with financial administration
We're looking for someone with previous finance or bookkeeping experience, excellent attention to detail and strong organisational skills. Experience using Xero would be highly desirable.

Job Summary
Birchwood Medical Practice is seeking an organised and proactive Finance Assistant to join our team. This is an exciting opportunity for an organised and detail-oriented individual with experience in finance administration or bookkeeping, including the use of accounting software such as Xero.
The successful candidate will enjoy working in a varied role and take pride in maintaining accurate, efficient, and compliant financial processes.
The successful candidate will support the Practice Management Team with the day-to-day financial administration of the practice, ensuring financial records are maintained to a high standard and deadlines are met.
Main Duties and Responsibilities
Purchase Ledger & Payments
- Process supplier invoices accurately and in a timely manner.
- Prepare invoices for payment.
- Authorise and pay invoices up to an agreed financial limit.
- Prepare higher value payments for approval by the Practice Manager.
- Maintain accurate supplier records.
- Resolve invoice queries with suppliers.
Banking & Cash Management
- Complete regular bank reconciliations using Xero.
- Process banking transactions.
- Maintain petty cash records and reconcile balances.
- Monitor daily cash flow.
Financial Administration
- Produce invoicing and billing for services provided by the practice.
- Process private patient fees and maintain accurate records.
- Monitor outstanding payments and assist with debt recovery where appropriate.
- Process staff expense claims (non-payroll expenses).
- Manage utility invoices and ensure timely payment.
Accounting
- Maintain accurate financial records using Xero.
- Complete regular reconciliation of bank accounts.
- Assist with preparation of VAT returns.
- Support month-end financial processes.
- Ensure all financial transactions are recorded accurately.
General Responsibilities
- Maintain confidentiality at all times in line with GDPR and NHS requirements.
- Work closely with the Practice Manager and external accountants.
- Assist with financial reporting as required.
- Ensure compliance with financial policies and procedures.
- Undertake any other duties appropriate to the role.
Person Specification
Essential
Qualifications
- GCSE (or equivalent) in English and Maths (Grade C/4 or above).
Experience
- Previous experience in a finance, accounts or bookkeeping role.
- Experience using Xero or similar accounting software.
- Bank reconciliation experience.
- Invoice processing and purchase ledger experience.
- Strong Microsoft Excel skills.
Knowledge
- Good understanding of bookkeeping principles.
- Understanding of VAT processes.
- Financial administration experience.
Skills
- Excellent attention to detail.
- Highly organised with good time management.
- Ability to prioritise workload.
- Strong numerical skills.
- Excellent communication skills.
- Ability to maintain confidentiality.
Desirable
- AAT qualification (or working towards).
- Experience working within the NHS or primary care.
