About the Role
We are seeking an organised and detail-focused Mail Processing Administrator to support daily mail handling, document processing, parcel tracking, and dispatch administration.
You will sort and record incoming items, prepare outgoing mail, update tracking information, maintain accurate records, and communicate with colleagues and delivery providers.
Previous mailroom experience is helpful but not essential. Training on company procedures, tracking systems, document security, and dispatch processes will be provided.

Key Responsibilities
- Receive, sort, and distribute incoming mail and parcels
- Prepare letters, documents, and packages for outgoing dispatch
- Record incoming and outgoing items in company systems
- Print labels and prepare routine dispatch documentation
- Update parcel and delivery tracking information
- Arrange courier collections using approved procedures
- Monitor expected deliveries and outstanding shipments
- Maintain accurate mail, dispatch, and proof-of-delivery records
- Scan documents and organise digital files
- Check recipient, address, and postage information for accuracy
- Respond to routine internal mail and delivery enquiries
- Report missing, damaged, or incorrectly addressed items
- Maintain supplies such as labels, envelopes, and packaging materials
- Handle confidential correspondence securely
- Keep mail-processing and storage areas organised
- Support general administrative duties when required
- Follow company data-protection, security, and workplace procedures
What We Are Looking For
Experience
- Previous experience in administration, customer service, retail, warehouse support, logistics, or office work is helpful but not essential
- Applications from school leavers, career starters, and candidates changing industries are welcome
- Mailroom or courier experience is beneficial but not required
Skills
- Strong attention to detail and accuracy
- Good organisation and time-management abilities
- Basic computer and keyboard skills
- Comfortable using email, Microsoft Word, and spreadsheets
- Ability to enter and review information accurately
- Clear and professional communication
- Ability to follow established procedures
- Willingness to learn mail-processing and tracking systems
- Ability to handle routine physical tasks, including moving ordinary mail trays and parcels
- Responsible approach to confidential information
- Ability to work independently and as part of a team
Education
- GCSEs or equivalent qualifications are preferred
- A university degree is not required
- Relevant practical, volunteer, customer-service, or administrative experience will be considered
Pay: £25,420.00-£29,000.00 per year
