Act as the first point of contact for office enquiries, visitors, contractors, mail and deliveries.
- Ensure the smooth day-to-day operation of the office, including opening and closing procedures, meeting room coordination, workspace management and office compliance standards.
- Manage access requirements, including ID passes, visitor sign-in processes, locker allocation and distribution list permissions.
- Maintain office facilities, supplies and equipment, ensuring a safe, professional and well-organised working environment.
- Support the coordination of meetings and events, including catering arrangements where required.
- Coordinate corporate travel bookings across Solvd., Transport UK, Transport UK Rail Replacement and Bus businesses.
- Maintain accurate travel records and ensure all bookings comply with company travel policies.
- Process supplier payments and reconciliations relating to travel activities.
- Manage the end-to-end administration of Bus Penalty Charge Notices (PCNs), ensuring compliance with service level agreements and payment deadlines.
- Monitor and maintain the PCN mailbox, coordinate responses with depots and maintain accurate tracking records.
- Escalate issues and risks as appropriate.
- Provide administrative support for procurement processes, including supplier set-up, supplier amendments and approval workflows.
- Conduct required compliance, credit and VAT checks and manage procurement-related enquiries within agreed service standards.
- Manage shared business support mailboxes and provide high-quality administrative support across the organisation.
- Coordinate joiner, mover and leaver processes, including onboarding documentation and access arrangements.
- Administer company smartcards, corporate card reconciliations and other routine business support activities.
- Provide cover for the Business Fulfilment Coordinator as required, supporting mail handling, customer correspondence, Delay Repay claims, smartcard administration and archiving activities.
- Support business support, governance and improvement projects as required.
- Contribute to the ongoing development of efficient, compliant and customer-focused administrative processes.
- Undertake other duties appropriate to the role and business needs.
Essential
- Experience providing administrative or business support within a professional environment.
- Excellent organisation and planning skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Word, Excel and PowerPoint.
- Ability to manage multiple priorities and deadlines.
Desirable
- Experience supporting governance, compliance or project activities.
- Experience working within a shared services or transport environment.
- Knowledge of document management systems.
