Wilkes is looking for an experienced and motivated Team Assistant to join our busy Corporate Department in Birmingham city centre. This is an excellent opportunity for someone with strong PA, legal secretarial, administrative or team support experience who enjoys working in a fast-paced environment and providing high-quality support to senior professionals and clients.
You’ll work closely with senior legal professionals, helping to ensure the smooth and efficient running of the team while delivering a high standard of administrative and client support.
Key Responsibilities
As a Team Assistant, your responsibilities will include:
- Providing high-quality administrative and secretarial support to the Head of Department and senior members of the Corporate team.
- Acting as a professional and reliable point of contact for clients, colleagues and external contacts, handling communications with discretion and confidence.
- Managing diaries, meetings and inboxes, prioritising tasks, flagging important deadlines and ensuring appointments are well organised.
- Preparing correspondence, reports, presentations and legal documents, including accurate audio and copy typing.
- Supporting internal and client meetings by preparing agendas and meeting materials, attending meetings where required and taking accurate minutes.
- Using the firm's LMS system to scan, upload and securely store client identification and legal documentation in accordance with internal procedures and compliance requirements.
- Maintaining accurate and well-organised client files and electronic records, ensuring documents are filed correctly and in line with Lexcel standards.
- Completing general administrative duties including filing, post, document scanning, photocopying, printing and document management.
- Providing additional support to legal secretaries and other team assistants across the Corporate Department during busy periods and assisting with workload management.
- Maintaining a consistently high level of accuracy, confidentiality, professionalism and attention to detail.
What we’re looking for:

- Strong organisational and time management skills, with the ability to juggle multiple priorities.
- Excellent written and verbal communication, with a confident, professional phone manner.
- Previous experience in a PA, Executive Assistant, or Team Assistant role is essential, ideally within a law firm or professional services.
- A client-focused, proactive approach, always delivering a high standard of service.
- A high level of accuracy and attention to detail, especially when handling sensitive client data.
- Excellent IT skills, including Microsoft Office (Word, Outlook, Excel, PowerPoint) and the ability to learn new systems (such as LMS) quickly.
- Strong interpersonal skills, able to build positive relationships with colleagues and clients alike.

Pay: £25,000.00-£27,000.00 per year
