Job Summary
A great opportunity is available to join our thriving, friendly, high achieving practice at Berrycroft Community Health Centre. We are looking for an enthusiastic member to join us as an Operations Assistant for 25-30 hours per week.
Responsibilities
There may be, on occasion, a requirement to carry out other tasks; this will be dependent on factors such as workload and staffing levels.
- Maintain, troubleshoot, and update internal systems such as cctv, IT and phone systems.
- Coordinate and maintain meeting calendars for monthly health visitor and complex needs meetings, including preparation of agendas, minute-taking, and filing of documentation.
- Serve as central point of contact between Health Visitors and General Practitioners and other internal and external stakeholders responding to enquiries from patients and visitors.
- Coordinate room hire process and administration related to car park management.
- Administer staff and visitor access control systems, including issuing and tracking access fobs.
- Draft, edit and proofread communications, and policies, including updating email distribution lists and digital noticeboards (E.g. Envisage screens).
- Procure and coordinate office and clinical supplies, including stationery, consumables, and items related to staff milestones and events.
- Handle confidential correspondence and documentation with a high degree of discretion.
- Provide cover for Rota coordination and complaints process in the absence of the Business Liaison Officer and Rota Manager.
- Assist in the preparation of reports and/or presentations and compile data to support decision making.
- Support the delivery of strategic initiatives by tracking project progress and deadlines.
- Coordinate third party facilities provider, premises and equipment checks.
Experience
Essential
- GCSE Grades 4-9 or equivalent in Math’s and English
- Strong proficiency in Microsoft Office
- Excellent Calander management
- Proven administrative experience
