We are seeking a highly organised, reliable, and proactive Office Administrator / Parts Administrator to support the day-to-day administration of the business while managing parts-related activities. The successful candidate will be comfortable working in a busy environment, communicating with customers and suppliers, and keeping accurate records.
Key Responsibilities
- Manage day-to-day office administration and provide general administrative support.
- Answer telephone calls and respond to emails in a professional and timely manner.
- Maintain accurate records, filing systems, and company documentation.
- Process invoices, purchase orders, delivery notes, and other administrative paperwork.
- Liaise with customers, suppliers, colleagues, and other external contacts.
- Ensure administrative processes are completed accurately and efficiently.
Parts Administration
- Manage the ordering, receiving, and distribution of machinery parts and components.
- Source parts from suppliers and obtain pricing and availability.
- Raise and process parts orders and purchase orders.
- Check deliveries against orders and ensure parts are correctly recorded.
- Maintain accurate stock records and assist with regular stock checks.
- Monitor outstanding and back-ordered parts and provide updates to relevant teams.
- Process parts invoices and ensure costs are correctly allocated.
- Liaise with suppliers regarding availability, delivery times, returns, credits, and discrepancies.
- Ensure parts are correctly identified, stored, and issued as required.
Skills & Experience
- Previous experience in office administration, parts administration, or a similar role.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Good written and verbal communication skills.
- Confident using Microsoft Office, particularly Outlook, Word, and Excel.
- Ability to work independently as well as part of a team.
- Ability to prioritise tasks and meet deadlines in a busy environment.
- Good customer service and supplier relationship skills.
- Previous experience with a parts, stock, purchasing, or business management system would be advantageous.
- Knowledge of vehicle, plant, machinery, or engineering parts is essential.
- Previous experience of Ibcos Gold is essential.
