Rivers Birtwell is experiencing continued growth, and we're excited to offer the role of Project Management Assistant. This role is crucial in supporting our current and upcoming construction projects across the South of England.
Role Overview:
Provide comprehensive administrative support to the Construction Department, ensuring construction and HMO conversion projects are delivered efficiently through effective document control, contractor administration, compliance coordination and project support.
Key Responsibilities:
Document Control — Maintain organized project files, drawings, specifications, and contract documents; log and track RFIs, submittals, shop drawings, and change orders through their full approval cycle.
Compliance Support — Assist the Manager in monitoring contract, insurance, permit, and regulatory compliance, ensuring records remain accurate and auditable.
Contract & Financial Administration — Support the preparation contract documents and closeout packages including warranties and O&M manuals. Assisting with uploading invoices to Re-leased and documents onto Fieldwire.
Correspondence & Communication — Draft professional correspondence on behalf of the Manager and serve as a coordination point between contractors, consultants, clients, and internal staff.
Reporting & Tracking — Maintain logs, trackers, and dashboards summarizing project status, deadlines, budgets, and outstanding deliverables.
Process Improvement — Help refine document control procedures, templates, and workflows to streamline compliance and coordination.
Skills and Experience:
Essential
GCSEs (or equivalent) including English and Mathematics (Grade 4/C or above).
Proficient in Microsoft Office, particularly Word, Excel and Outlook.
Previous experience in an administrative or office support role.
Experience managing multiple tasks and competing priorities in a fast-paced environment.
Experience preparing and maintaining accurate records, reports and project documentation.
Desirable
Health & Safety awareness (e.g. CSCS or IOSH Working Safely).
Experience supporting refurbishment, maintenance or construction projects.

Detail-focused with a compliance mindset — understands that accuracy in documentation, logs, and records directly supports contractual and regulatory obligations.

Pay: From £28,184.00 per year
