Founded in 1999, Ecolution Group is a growing renewable energy business providing renewable technologies and services to the commercial sector, local authorities and housing associations.
Our teams design, supply, install and maintain renewable energy solutions, supporting our clients with their transition to lower carbon technologies.
We are looking for an experienced PA to CEO and Directors to provide high level support to our senior leadership team while taking responsibility for a broad range of HR administration and office management activities.
This is a varied and trusted position at the heart of the business, suited to someone who enjoys working closely with senior leaders while also taking ownership of the day to day people and office activities that keep a busy organisation running effectively.
About the Role
Reporting directly to the CEO, you'll provide PA support to the CEO and two Directors, managing diaries, meetings, travel and senior level administration.
Alongside your PA responsibilities, you'll play an important role in supporting the employee lifecycle, working with managers and employees across recruitment, onboarding, HR administration, absence, employee relations, payroll inputs and training.
You'll also oversee the day to day running of our West Malling office, coordinating suppliers, facilities and general office requirements.
The breadth of the position means no two days are likely to be the same, so we're looking for someone who is highly organised, comfortable managing competing priorities and confident handling sensitive and confidential information.
Key Responsibilities
PA & Executive Support
- Provide day to day PA support to the CEO and Directors.
- Manage complex diaries, meetings and appointments.
- Coordinate travel and accommodation arrangements.
- Organise and support company and leadership events.
- Prepare meeting agendas, papers, presentations and supporting documentation.
- Attend senior management and Board level meetings, taking accurate minutes and following up actions.
- Coordinate and compile Board and AGM packs.
- Draft correspondence, letters, reports and presentations.
- Act as a trusted point of contact for internal and external stakeholders.
- Handle sensitive and confidential information with discretion.
HR & People Support
- Provide day to day HR administration and support across the employee lifecycle.
- Support recruitment activities, including interview coordination and candidate administration.
- Coordinate new starter onboarding and associated documentation.
- Prepare employment documentation, letters and contractual paperwork.
- Maintain accurate employee records and HR system information.
- Support managers with absence administration and employee relations processes.
- Coordinate external training and maintain associated records.
- Provide accurate employee information and changes for payroll processing.
- Support the ongoing development and administration of HR processes and procedures.
Office Management & Business Support
- Oversee the smooth day to day running of the West Malling office.
- Coordinate office supplies, facilities, maintenance and service providers.
- Manage office related budgets and expenditure.
- Liaise with suppliers and contractors and coordinate renewals where required.
- Maintain effective administrative processes and office systems.
- Support company events and wider business activities.
- Work collaboratively across the business to ensure effective communication and administration.
About You
We're looking for someone who is comfortable operating in a role where priorities can change quickly and where discretion, judgement and attention to detail really matter.
You don't necessarily need to come from a traditional PA background. We would also welcome applications from experienced Business Support or Office Management professionals who have supported senior leaders and have good practical HR experience.
Essential Experience & Skills
- Previous experience providing PA, Executive Assistant, Business Support or similar senior level support.
- Practical experience of HR administration and supporting employee processes.
- Experience managing busy diaries, meetings and competing priorities.
- Excellent written and verbal communication skills.
- Strong organisational skills and attention to detail.
- Confidence communicating with employees, managers and senior stakeholders.
- Ability to handle confidential and sensitive information appropriately.
- Strong Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint and Teams.
- Experience using HR or business systems.
- A proactive approach with the ability to use initiative and solve problems.
- Comfortable working independently while also being part of a wider team.
Desirable
- Previous experience using PeopleHR or a similar HRIS.
- Experience with BrightPay or supporting the implementation of a new HR/payroll system.
- CIPD qualification or relevant HR training.
- Previous experience supporting Board or senior leadership meetings.
- Experience within a growing SME or operational business.

- Provided reliable and proactive support across diaries, meetings and senior level priorities.
- Maintained accurate and well organised HR records and employee administration.
- Supported managers confidently across routine HR processes.
- Helped ensure recruitment, onboarding, payroll inputs and employee changes are managed accurately and on time.
- Maintained an organised and well run office environment.
- Become a trusted point of contact across the wider business.
