Location: Twickenham (occasional travel to Uxbridge)
Hours: Full-time, 9:30am to 6:00pm
Salary: £25,500 - £27,000, based on experience and skills + Benefits (including pension, parking, bonuses/commissions)
Key Responsibilities:
- Client Interaction & Customer Service: Answer and manage incoming telephone calls and enquiries in a timely, courteous, and efficient manner. Build rapport with clients to provide outstanding customer service and ensure client satisfaction.
- Client Communication: Liaise and communicate effectively in both written and verbal forms between clients, visitors, and staff, ensuring clear and effective responses.
- Appointments & Database Management: Schedule and accurately record client appointments, managing and updating client data using database applications.
- Filing & Documentation: Set up, maintain, and organise filing systems, scan and record client documents, and send out reminders as needed.
- Work Progress Tracking: Keep track of work received, liaising with colleagues to ensure timely completion and updates on work in progress.
- Invoicing & Financial Management: Manage account receivables, issue invoices, and create client statements. Assist with debtor management to ensure financial efficiency.
- Project Delivery: Assist with the delivery of internal or client-facing projects as needed.
- Office Management: Assist with managing and maintaining the day-to-day operations of the branch, including managing supplies, equipment, and documentation.
- Sales & Marketing Support: Assist with sales and marketing analysis to support branch growth and client outreach.
- Onboarding New Clients: Manage and oversee the onboarding process for new clients, ensuring all paperwork and documentation is completed efficiently and accurately.
Key Skills and Experience:
- A minimum of 2 years' experience in an administrative or front desk (reception) role.
- Experience using database applications and Microsoft Office suite (Word, Excel, Outlook).
- Strong verbal and written communication skills with a professional and approachable manner.
- Ability to build and maintain strong relationships with clients through effective rapport building.
- Excellent organisational skills, with the ability to manage multiple tasks and deadlines simultaneously.
- Attention to detail and a proactive approach to problem-solving.
- Ability to work in a deadline driven fast pace working environment
- Desired Key Skills and Experience (but not essential):
- Experience in an accountancy firm.
- Experience in managing accounts receivable.
- Experience in data analysis.
- Knowledge of accounting software such as QuickBooks.
Additional Information:
- During peak periods (such as December and January), extra hours, including evenings and weekends, may be required to meet critical deadlines.
- Travel to our Uxbridge may occasionally be necessary.
Pay: £25,500.00-£27,000.00 per year
