Operations Manager & Executive Support
The Koru Collective
The Koru Collective is looking for an organised, proactive and dependable Operations Manager & Executive Support to join our boutique transformation, leadership and organisational development consultancy.
This is a varied role at the heart of the business, working closely with our CEO to keep our clients, projects and day-to-day operations running smoothly.
No two weeks will necessarily look the same. You could be coordinating a leadership programme, arranging coaching sessions, preparing a client proposal, raising invoices, booking travel, organising a workshop or making sure the CEO has everything needed for the week ahead.
We're looking for somebody who enjoys bringing order to a busy environment, takes ownership of their work and is comfortable using their initiative to keep things moving.
We deal with high profile clients and confidentiality is key.
What you'll be doing
Your responsibilities will include:
- Managing diaries, meetings, coaching sessions and travel.
- Coordinating client programmes, workshops and events.
- Supporting client communications and administration.
- Maintaining business systems, trackers, files and documentation.
- Raising invoices and supporting financial administration through Xero.
- Monitoring payments, expenses and recurring financial activities.
- Supporting proposals, tenders, presentations and reports.
- Keeping oversight of live projects, deadlines and outstanding actions.
- Supporting the preparation of workshops and programme materials.
- Coordinating suppliers, subscriptions and other business requirements.
- Supporting website, marketing and general business administration.
- Providing trusted and confidential executive support to the CEO.
The role will occasionally involve supporting Koru retreats, client workshops or events, which may require one or two nights away from home. Flexibility will therefore be important, although wherever possible at least one month’s notice will be provided to allow appropriate planning. As some events may take place outside the UK, the successful candidate will need to hold a valid passport and be comfortable with occasional travel as part of the role.
Executive & Personal Support
As part of working closely with the CEO, the position also includes an element of personal administration. This may include managing appointments and commitments, making bookings, occasional family administration and helping with practical tasks such as gifts, post, parcels and returns.
The role is predominantly based in a purpose-built office space built in the grounds of the CEO’s home , so it's important that you're comfortable working within a home- based environment.
Who we're looking for
You'll be someone who:
- Is highly organised with excellent attention to detail.
- Can confidently manage several priorities at once.
- Takes initiative and follows things through.
- Communicates professionally and warmly.
- Is comfortable working independently.
- Enjoys solving problems and finding practical solutions.
- Can be trusted with confidential and sensitive information.
- Is confident using Microsoft 365, Canva, Xero and learning new systems.
- Is adaptable and comfortable with the variety that comes with working in a small business.
- Takes pride in making sure things are done properly and nothing gets missed.
Previous experience in operations, business support, executive support, project coordination or a similar role would be essential.
Experience with financial administration or working within consultancy, coaching, professional services or learning and development would also be advantageous.
What We Offer
- 36 hours per week.
- 26 days' annual leave.
- NEST workplace pension.
- A varied role with genuine responsibility.
- The opportunity to work closely with a growing consultancy and gain exposure to a broad range of clients and projects.
