Customer Service & Office Administrator
Sales & Contracts Support
London Established since 1981 | Permanent Position | Immediate Start
About the Role
We're looking for a friendly, confident and organised person to join our close-knit team at Gandhi Carpets.
This is a varied, office-based role, ideal for someone who enjoys speaking with people, keeping things organised and seeing a job through from beginning to end.
You'll be helping customers in our showroom and over the phone, arranging appointments, preparing quotations and invoices, and supporting our work with contractors, local councils and housing associations.
No two days are exactly the same. You might be helping a customer choose flooring one moment, arranging a measurement appointment the next, updating a job for a housing association, or making sure photos and paperwork have gone up correctly.
You'll work alongside an experienced team who'll help you get to grips with our systems, our customers and the flooring side of things.
Previous flooring experience isn't necessary — we'll teach you that. We're far more interested in a positive attitude, good communication and solid organisation, along with someone who's comfortable with computers and enjoys working with people.
What You'll Be Doing
- Welcoming customers and helping with general carpet and flooring enquiries
- Answering incoming telephone calls in a friendly, professional manner
- Responding to customer and client emails
- Preparing quotations, invoices and general paperwork
- Processing customer orders and keeping job records up to date
- Arranging measurements, surveys and fitting appointments
- Liaising with contractors, local councils and housing associations by phone and email
- Receiving, logging and tracking new work orders
- Helping coordinate jobs from initial instruction through to completion
- Liaising with our surveyors, fitters, suppliers and customers to keep everyone updated
- Keeping organised before-and-after photographs of completed works
- Uploading photographs, completion details and supporting documents to client and contractor portals
- Checking the correct paperwork and photos are in before a job is signed off
- Preparing and issuing invoices once jobs are complete
- Uploading invoices and supporting documentation to the relevant portals
- Keeping accurate records of invoices, payments and outstanding accounts
- Following up outstanding invoices with clients, courteously and professionally
- Updating spreadsheets, job trackers and our internal systems
- Chasing up outstanding jobs, appointments and documentation
- Helping with the admin side of our contract and public-sector flooring work
- Supporting the team with sales enquiries when needed
- General office admin and keeping digital records in order
Who We're Looking For
You don't need to know anything about carpets or flooring when you start.
We're looking for someone who:
- Is friendly, approachable and enjoys speaking with people
- Has previous office, administration, customer service or sales support experience
- Has a confident, professional telephone manner
- Has good written and spoken English
- Is comfortable using Microsoft Word, Excel and Outlook
- Is confident with computers and happy to learn new systems
- Is comfortable using online portals and uploading photos and documents
- Is organised and enjoys keeping records and paperwork in order
- Has good attention to detail
- Is comfortable working with figures, quotations and invoices
- Can manage several jobs and priorities through the day
- Is reliable and takes pride in doing things properly
- Enjoys being part of a small, supportive team
Previous experience with local authorities, housing associations, contractors, property companies or maintenance businesses would be an advantage, though not essential — as is any background in flooring, interiors, construction or a trade environment.
