About the Role
J2 Flooring is looking for an experienced and highly organised AAT Qualified Accounts Assistant to join our growing team.
This is a varied and hands-on role that combines accounting, credit control, customer account management and financial administration. You will be responsible for ensuring the accuracy of our financial records, maintaining excellent control of customer accounts, supporting cash flow through proactive credit control, and working closely with both the sales and management teams.
The ideal candidate will have excellent attention to detail, be confident communicating with customers and colleagues, enjoy problem solving, and take ownership of their workload. We are looking for someone who wants to become an integral part of the business rather than simply processing paperwork.
Essential Qualifications
- AAT Level 3 or Level 4 qualified (or working towards completion)
- Previous experience in an accounts or finance role
- Strong understanding of sales ledger, purchase ledger and bank reconciliations
- Excellent IT skills, including Microsoft Excel
- Experience using accounting software
- Strong organisational skills and attention to detail
- Confident communicator, both by telephone and email
Daily Responsibilities
- Record and allocate incoming and outgoing payments.
- Post and reconcile customer payments.
- Process and code purchase invoices, ensuring correct nominal allocation and pricing accuracy.
- Respond to customer account queries by telephone and email.
- Assist with sales enquiries, including taking customer orders and tracking deliveries.
- Process website enquiries and direct them appropriately.
- Send customer payment links and process payment requests.
- Liaise with the sales team regarding customer accounts and payment issues.
- Monitor customer accounts and identify overdue balances.
- Carry out proactive credit control by telephone and email.
- Maintain accurate financial records and customer account information.
Weekly Responsibilities
- Process petty cash.
- Maintain organised financial filing systems.
- Track display stand orders and prepare monthly invoices relating to these.
- Produce debtor reports and other financial reports for the Managing Director and Financial Controller.
- Prepare supplier payment schedules for approval by the Managing Director.
- Support the wider finance function with ongoing administrative duties.
Monthly Responsibilities
- Perform month-end customer account close-down procedures.
- Complete bank reconciliations across multiple bank accounts.
- Produce and issue customer statements.
- Process postponed VAT entries.
- Assist with month-end reporting and reconciliations.
Ongoing Responsibilities
- Carry out aged debt analysis and proactively manage credit control.
- Upload eligible debts to the company’s credit insurance provider.
- Open new customer accounts and perform credit checks.
- Monitor customer credit limits and recommend account holds where necessary.
- Place customer accounts on stop and release them following payment.
- Process cash banking.
- Calculate customer rebates.
- Add approved customers to the retailer locator on the company website.
- Amend invoices and issue credit notes.
- Prepare information required for VAT returns.
- Support audits and finance projects as required.
- Continually identify opportunities to improve finance processes and efficiencies.
