About the Role
We are looking for an organised and proactive Fleet Coordinator to support the day-to-day management of our vehicle fleet. This is a varied role that combines fleet administration, maintenance coordination, compliance monitoring, and cost control to ensure our vehicles and equipment remain safe, compliant, and operational.
Working closely with drivers, workshops, suppliers, and internal stakeholders, you will play a key role in maintaining accurate records, coordinating repairs and servicing, and supporting fleet performance across the business.
Key Responsibilities
- Coordinate vehicle servicing, repairs, inspections, annual tests, and breakdowns.
- Monitor and manage vehicle defects, ensuring repairs are completed promptly.
- Maintain accurate fleet records, documentation, certificates, and asset information.
- Process and validate invoices, purchase orders, damage charges, and maintenance costs.
- Manage vehicle licensing and compliance requirements.
- Update and maintain fleet management systems including maintenance and service trackers.
- Monitor fuel usage, repair and maintenance expenditure, and fleet-related costs.
- Support administration of telematics, CCTV, and fleet technology systems.
- Liaise with workshops, suppliers, drivers, and internal departments to ensure effective fleet operations.
- Attend fleet and workshop meetings and provide updates on maintenance and compliance activities.
About You
To be successful in this role, you will have:
- Previous experience in fleet administration, fleet coordination, transport, or vehicle maintenance support.
- Excellent organisational and administrative skills with strong attention to detail.
- Experience managing records, invoices, schedules, and compliance documentation.
- Good knowledge of vehicle maintenance and fleet operations.
- Strong IT skills, including Microsoft Office and fleet management systems.
- Excellent communication skills and the ability to work with a variety of stakeholders.
- The ability to prioritise workloads and manage multiple tasks effectively.
Desirable
- Experience using systems such as TruTac, Pinnacle, Microlise, or Road Runner.
- Knowledge of DVLA licensing and transport compliance requirements.
- Experience with telematics and CCTV systems.
