The Role
We are seeking an energetic, highly organised and detail-oriented Senior Document Controller to join our team.
The successful candidate will take responsibility for the management, organisation and control of client project documentation. You will ensure that documents are accurate, current, accessible and compliant with relevant management system standards.
This is a senior position requiring strong leadership skills and practical experience working with ISO 9001, ISO 14001 and ISO 45001. You will help streamline document workflows, maintain reliable records and support teams in meeting quality, environmental, and occupational health and safety requirements, objectives and KPIs.
As part of a small team, the role may evolve according to the needs of the business. You will need to be comfortable taking initiative, responding to changing priorities and helping outside your immediate area of responsibility when required.
Key Responsibilities
- Develop, implement and maintain document control procedures that meet business, project and ISO management system requirements.
- Manage the preparation, review, approval, revision, distribution, retention and archiving of controlled documents on the SharePoint system.
- Create documents including policies, procedures, work instructions, forms, drawings, reports, contracts and correspondence.
- Ensure documents are correctly titled, numbered, classified and version-controlled.
- Maintain document registers, revision histories, approval records and distribution logs.
- Ensure current approved versions of documents are readily available and obsolete documents are appropriately withdrawn or archived.
- Work closely with the Director, SHEQ Consultants, Compliance Administrators and clients to coordinate document reviews and approvals.
- Monitor compliance with document control procedures and the requirements of ISO 9001, ISO 14001 and ISO 45001.
- Support internal and external audits by providing accurate, complete and traceable documentation.
- Identify opportunities to improve document workflows, record-keeping practices and management system effectiveness.
- Manage electronic document management systems, including SharePoint or equivalent platforms.
- Train and support employees in document control procedures, systems and best practices.
- Oversee document control activities across multiple projects and ensure deadlines are met.
- Support data governance, reporting and continuous improvement initiatives where required.
- Respond positively to changing business priorities and provide practical support across the wider team when needed.
Essential Experience and Skills
- Demonstrable experience as a Document Controller, Senior Document Controller or in a comparable records-management position.
- Practical experience implementing, maintaining or supporting ISO management systems.
- Strong working knowledge of:
- ISO 9001 - Quality Management Systems
- ISO 14001 - Environmental Management Systems
- ISO 45001 - Occupational Health and Safety Management Systems
- Experience managing controlled documents within a complex, regulated or multi-project environment.
- Strong knowledge of document lifecycles, version control, approval workflows, retention requirements and audit trails.
- Experience using SharePoint or a comparable electronic document management system.
- Ability to interpret management system requirements and translate them into effective document control processes.
- Excellent organisational and time-management skills, with the ability to manage competing and frequently changing priorities.
- Exceptional accuracy and attention to detail.
- Strong written and verbal communication skills.
- Demonstrable leadership skills, including the ability to train and support colleagues.
- Confidence working independently and collaboratively within a small team.
- A flexible, hands-on approach and willingness to contribute wherever the business needs support.
Desirable Experience
- Experience supporting UKAS-accredited certification or external certification audits.
- Knowledge of ISO 27001, ISO 13485 or other recognised management system standards.
- Experience with data governance, database design, data warehouses or large-data environments.
- Familiarity with reporting or data-analysis tools such as Tableau.
- Working knowledge of SQL, Python, Oracle or Informatica.

Mandatory Requirement
Applicants must have relevant practical ISO experience and be experienced in working with ISO 9001, ISO 14001 and ISO 45001.
Candidates who do not meet this requirement will not be considered.
Pay: £31,494.68-£51,642.53 per year
