As Wedding and Event Coordinator, you play a crucial role in the success of every wedding and event hosted at the hotel. You bring exceptional verbal communication skills and a keen attention to detail to every stage of planning. You assist with the planning and execution of events, coordinate closely with vendors, and make sure every guest need is met during the event. You thrive on multitasking in a fast-paced, dynamic environment.

Objectives of this role:
- Plan, coordinate, and execute weddings, meetings, conferences, and special events.
- Work closely with couples and clients to understand their vision and provide tailored solutions.
- Coordinate with hotel departments (banquet, catering, AV, housekeeping) to ensure flawless event execution.
- Manage event budgets, proposals, and contracts.
- Maintain strong client relationships and identify opportunities for repeat business.
Key Responsibilities
People
- Build rapport with couples, clients, and guests throughout the planning journey.
- Work closely with banquet, catering, AV, and housekeeping teams to deliver each event.
- Supervise event setup, on-site logistics, and breakdown.
- Support colleagues across departments during busy event periods.
- Represent Brightstar values through attentive, professional service.
Quality
- Guide clients through the planning process, translating their vision into a workable event plan.
- Ensure every event reflects the hotel's standards and the client's expectations.
- Coordinate with vendors to confirm bookings, timings, and requirements.
- Address any last-minute changes or challenges with professionalism.
- Maintain accurate event documentation, running orders, and floor plans.
Profit
- Manage event budgets, proposals, and contracts.
- Identify upsell opportunities across catering, accommodation, and add-on services.
- Monitor costs against budget for each event.
- Seek repeat business and referrals from satisfied clients.
- Use client feedback to inform future sales opportunities.
Responsible Business
- Ensure compliance with health, safety, and licensing requirements during events.
- Maintain accurate records within event management and CRM systems.
- Keep up to date with event planning processes and best practices.
- Work flexible hours, including evenings and weekends, as events require.
- Complete all mandatory training within required timeframes.
Skills and Qualifications
- Experience in event planning, hospitality, or a similar role (1-3 years preferred).
- Strong organisational and multitasking skills.
- Excellent communication and customer service abilities.
- Ability to work flexible hours, including evenings and weekends as needed.
- Knowledge of event management software is an advantage.
- Hospitality work experience preferred.
