About the Role:
Glasgow is a city known for practical innovation, ambitious businesses, and a strong culture of collaboration, and at Scippo West Solutions Ltd, we bring that same approach to the way we deliver projects. We support organisations with business and technology initiatives that require careful planning, clear communication, and dependable execution. We are looking for a Project Coordinator who can keep projects organised from initial planning through completion. You will work closely with project managers, internal teams, clients, and suppliers to coordinate schedules, maintain documentation, track deliverables, and ensure everyone has the information they need to keep projects moving forward.
Why Work With Us?
The Environment: Our Glasgow office is based in the city centre, close to Bothwell Street and Glasgow Central Station. We value a collaborative working environment where people can share ideas, solve problems, and take ownership of their responsibilities.
Project Exposure: You will work across multiple projects and gain direct exposure to project planning, stakeholder communication, delivery coordination, and business operations.
Modern Tools: We use digital project management and collaboration platforms to keep schedules, documentation, actions, and project updates organised and accessible.
Growth: We support professional development through structured learning, industry training, project management courses, and opportunities to develop toward more senior project delivery responsibilities.
Key Responsibilities:
Project Coordination: Support the planning and delivery of projects by maintaining schedules, tracking milestones, coordinating activities, and following up on outstanding actions.
Team Communication: Work with project managers, technical teams, operations, clients, and external suppliers to ensure project information is communicated clearly and on time.
Documentation: Maintain project plans, meeting records, action logs, status reports, requirements documentation, and other project materials throughout the delivery lifecycle.
Schedule Management: Monitor project timelines and dependencies, highlight potential delays, and work with relevant team members to keep activities progressing according to plan.
Meeting Coordination: Organise project meetings, prepare agendas, record decisions and actions, and follow up with stakeholders to ensure agreed tasks are completed.
Progress Tracking: Collect project updates from team members and prepare clear summaries showing completed activities, upcoming milestones, outstanding actions, and potential risks.
Stakeholder Support: Respond to project-related queries and help ensure clients and internal stakeholders have accurate and timely information about project progress.
What We Are Looking For:
Experience: 3+ years of experience in project coordination, project administration, PMO support, operations coordination, or a similar delivery-focused environment.
Organisation: Strong organisational skills with the ability to manage multiple deadlines, priorities, documents, and stakeholders simultaneously.
Communication: Excellent written and verbal communication skills, with the confidence to communicate professionally with internal teams, clients, and external suppliers.
Project Tools: Comfortable working with Microsoft Project, Microsoft Teams, Excel, Jira, Confluence, Monday.com, Asana, or similar project management and collaboration platforms.
Problem Solving: You are proactive when identifying missing information, scheduling issues, dependencies, or potential delivery delays and know when to escalate concerns.
Mindset: You are dependable, detail-oriented, and practical. You enjoy bringing structure to busy projects and understand that successful delivery depends on clear communication, accurate information, and consistent follow-through.
