Job Summary
The Hotel & Wedding Receptionist is the first point of contact for guests and plays a vital role in creating a welcoming and professional atmosphere. The role involves providing exceptional customer service, managing guest check-ins and check-outs, handling reservations, responding to enquiries, and ensuring guests have an enjoyable and comfortable stay.
Key Responsibilities
· Always deliver an exceptional guest experience via in person, telephone or email.
· Own the administrative duties including reporting and updating booking systems.
· Play an active team role in succeeding the monthly target of new wedding deposits each month.
· Increase wedding showround bookings through effective communication.
· Complete guest check-in and check-out procedures accurately and efficiently.
· Manage room reservations, cancellations, and amendments using the hotel's property management system.
· Answer telephone calls, emails, and guest enquiries promptly and courteously.
· Process payments, issue invoices, and balance card transactions.
· Respond to guest requests and resolve complaints or concerns professionally, escalating issues where necessary.
· Maintain accurate guest records and ensure confidentiality of personal information.
· Work closely with the General Manager to align all team efforts to improve the daily hotel guest experience.
Skills and Experience
Essential
- Previous experience as a receptionist.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Good organisational and time management abilities.
- Ability to remain calm and professional under pressure.
- Competent computer skills, including Microsoft Office and reservation systems.
- Numerate with the ability to process payment transactions accurately.
Desirable
- Previous experience as a hotel receptionist or hospitality administrator
- Knowledge of hotel property management systems (e.g. Rezcontrol or similar).
