The Role
We are looking for an organised and reliable Mortgage Administrator to provide 1:1 support to one of our mortgage brokers.
This role is about keeping cases moving and the broker's day running smoothly — from managing their diary and workload to chasing documents and keeping client files accurate and up to date. You'll be the person making sure nothing gets missed, so the broker can focus on advising clients.
This is a well-suited role for someone who enjoys structure, likes ticking things off a list, and takes pride in accuracy and follow-through.
Core Responsibilities
Diary & Workload Coordination
- Manage the broker's diary, booking and confirming client appointments
- Prioritise and organise daily workload to keep cases progressing
- Flag scheduling conflicts or capacity issues before they become a problem
Case Administration
- Chase clients, lenders, and third parties for outstanding documents and information
- Prepare and package case files ready for submission
- Track case progress on our CRM and keep records accurate and up to date
- Liaise with lenders and solicitors on case updates
Client Communication
- Answer client queries by phone and email in a professional and timely manner
- Keep clients updated on case progress where appropriate
- Act as a first point of contact when the broker is unavailable
General Office Support
- Maintain accurate and organised digital filing
- Support the wider team with ad hoc administrative tasks as needed
- Help identify small process improvements that make casework run more smoothly
Skills & Experience
Essential
- Strong organisational skills and comfortable managing multiple ongoing cases at once
- High attention to detail and accuracy
- Confident, professional communication skills, written and verbal
- Comfortable using CRM systems, email, and standard office software
- Reliable and consistent, with a sense of ownership over your workload
Desirable
- Previous experience in a mortgage, financial services, or other regulated environment
- Experience using mortgage sourcing or case management systems (e.g. Twenty7Tec, Iress)
- Experience supporting a specific individual (broker, adviser, manager) rather than a general team
Working Hours
- Flexible full-time or part-time considered
- Negotiable start time, typically between 07:30am and 9:00am
- 5–8 hours per day, with flexibility for the right candidate
