Business Administrator – Chartered Surveying Practice - Swansea Area

We are a small, established, Chartered Surveying practice with an ambitious and growing business, and we are looking for someone to join us in a key administrative and client facing role.
As our business continues to grow, this is an exciting opportunity to become an important part of the day to day running of the practice, with a particular focus on client service, communication and coordination.
The Role
This is an important, customer facing role within our business. You will be involved with clients throughout the surveying process, from their initial enquiry and booking, through to the completion and issue of the report and any follow up that may be required.
For residential clients, you will often be speaking to people at an exciting and significant stage of their lives as they purchase a home. We want someone who understands the importance of this, is genuinely enthusiastic about helping them, and can make the process feel straightforward and reassuring.
You will also deal with commercial clients, agents and professional contacts, adapting your communication style and approach to suit different types of enquiries.
Your responsibilities will include:
- Handling telephone and email enquiries and providing a friendly, professional service
- Booking surveys and coordinating appointments
- Using our online booking and survey management systems to manage bookings, client information and related administration
- Managing client communications and following up enquiries and outstanding matters
- Dealing with interim queries and keeping clients updated on progress
- Coordinating with surveyors and chasing information, documents and reports where required
- Dealing with queries arising following the issue of survey reports, ensuring matters are passed to the appropriate person and followed through
- Organising diaries and schedules
- Preparing and formatting documents and reports
- Using Microsoft Word and Excel
- Maintaining accurate records and business information
- Providing general administrative support to the surveying team
- Helping ensure matters progress efficiently from initial enquiry through to completion
The role requires someone who is organised, proactive and confident in dealing with people, with the ability to manage several matters at different stages and ensure that clients receive a consistently responsive service.
About You
We are looking for someone who is professional, personable, highly organised and confident dealing with people, with experience in a professional or structured environment where accuracy, communication and follow-through are important.
Previous experience in surveying or property would be advantageous but is not essential, but experience dealing with clients, managing enquiries, coordinating information and following matters through to completion is important.
You will need:
- An excellent telephone manner and the confidence to communicate warmly and professionally with a wide range of clients
- Strong written and verbal communication skills, with the ability to adapt your approach to different clients and situations
- Excellent organisational skills and the ability to manage multiple matters and competing priorities
- Good attention to detail and a commitment to getting things right
- The ability to take ownership, use initiative and follow up outstanding actions
- Confidence liaising with clients, professionals and colleagues
- The ability to handle confidential and sensitive information appropriately
- Confidence using Microsoft Word and Excel and an ability to learn new online systems quickly
- A reliable, proactive and positive “can-do” attitude

Hours & Flexibility
30–35 hours per week (to be agreed with the successful candidate) Monday–Friday.
There is flexibility around working hours and we are happy to discuss a suitable working pattern. Flexibility is also required from the successful candidate to meet client and business needs when necessary.
The role is primarily home-based, with some flexibility to work from local community workspaces or other locations when required.
However the applicant MUST be based within a reasonable distance of Swansea for occasional Ad-hoc meetings and to have an understanding of the local area. Please do not apply if you are based outside South Wales.
Salary & Start Date
£23,000–£26,833 per annum, depending on hours worked.
This is based on £23,000 for 30 hours per week, increasing on a pro-rata basis up to £26,833 for 35 hours per week.
Equivalent to £28,750 per annum on a full-time 37.5-hour week.
We are aiming for the successful candidate to be in post during the first week of November 2026, although we are happy to be flexible for the right candidate.
