The role reports to and works closely with the Founder and Principal, who sets the Altenburg Foundation’s strategic direction, leads key partnerships, and remains actively involved in supporting Fellows and overseeing major initiatives.
What You’ll Do
During your first year, your priority will be to build the operational foundations that allow the Altenburg Foundation to grow. This includes creating clear processes, selecting the right tools, documenting workflows, and ensuring programmes run consistently year after year.
Deliver the Altenburg Fellowship
- Lead the annual Fellowship cycle, including applications, interviews, selection, onboarding, events, communications, and participant support.
- Serve as the main operational point of contact for Fellows, coordinating practical support throughout the programme.
- Coordinate and grow the Altenburg Fellowship alumni network.
- Coordinate the Altenburg Foundation’s mentor programme, including onboarding, communications, and regular check-ins.
- Collect feedback from Fellows and mentors and help improve the Fellowship year on year.
Coordinate Grantmaking
- Manage the administration of the Altenburg Foundation’s grants, including agreements, reporting, payments issuance, and progress tracking.
- Work with the Principal to define success metrics for grants and Fellowship activities and ensure these are tracked consistently.
- Maintain accurate records of grants, reporting deadlines, and key outcomes.
Build Systems & Operations
- Create and maintain a central knowledge hub for documents, board papers, grant records, operational processes, and organisational knowledge.
- Improve routine workflows using digital tools and AI where appropriate across domains such as applications, scheduling, reminders, reporting, newsletters, and payment tracking.
- Coordinate Board of Trustee meetings, including agendas, papers, minutes, and follow-up actions.
- Ensure the Altenburg Foundation meets its governance and compliance obligations.
- Develop practical internal policies as the Altenburg Foundation grows.
Support the Team
- Translate the Principal’s priorities into clear quarterly work plans.
- Coordinate the work of the Altenburg Foundation’s small team of staff and volunteers.
- Help ensure projects move forward on time and that everyone has visibility into priorities and deadlines.
- Contribute to the Altenburg Foundation’s communications through newsletters, social media, website updates, and thought leadership content.
Year 1 Goals
- The Altenburg Fellowship runs to a clear annual timetable, with participants, mentors, and partners receiving timely and well-organised support.
- Applications, onboarding, events, payments, and communications follow clear, documented processes that are easy to manage and improve.
- Grant reporting, payments, and monitoring are up to date, giving the Principal clear visibility into progress and impact.
- The Altenburg Foundation’s operational knowledge is organised and easy to access, reducing reliance on individual memory.
- The Altenburg Foundation’s small team works effectively with clear priorities, regular communication, and strong coordination.
- The Principal spends less time managing day-to-day administration and more time on Fellows, partnerships, fundraising, and strategic development.

Skills & Experience Essential
- Experience managing programmes, operations, or projects involving multiple stakeholders, deadlines, and competing priorities.
- Strong organisational and project management skills with excellent attention to detail.
- Experience creating or improving operational processes and systems.
- Confidence using digital tools such as Google Workspace, Notion, Airtable, CRMs, project management software, or similar platforms.
- Familiar with using AI and automation to improve routine workflows.
- Excellent written and verbal communication skills.
- A proactive, self-directed working style and willingness to work across both strategic and administrative tasks.
- Strong alignment with the Altenburg Foundation’s mission and values.
Desirable
- Experience in a small foundation, nonprofit, education organisation, or mission-driven startup.
- Experience managing fellowships, scholarships, grants, or similar programmes.
- Experience with grant administration, monitoring and evaluation, or impact reporting.
- Experience coordinating volunteers, contractors, or small distributed teams.
