Job Summary
We are seeking a proactive and detail-oriented Senior IFA / PA Administrator to join our dynamic financial services team. In this pivotal role, you will provide comprehensive administrative support to the CEO /IFA, ensuring smooth daily operations and exceptional client service. Your expertise in report writing, analysis, and organizational skills will be instrumental in maintaining efficient workflows and delivering high-quality support. - Preparing new business and client review packs ahead of client meetings
- Preparing protection quotes
- Managing diaries / schedules
- Handling client enquiries
- Obtaining literature and forms from providers and pre-completing basic client details
- Conducting electronic checks for new and, when needed, existing clients, requesting AML documents from clients as required
- Issuing Letters of Authority to providers, requesting information as necessary and loading plans to iO as necessary
- Maintaining accurate client records
- Actioning client updates, e.g. changes of name or address
- Producing and issuing year-end tax packs to clients or designated contacts as and when requested
- Associated scanning and filing as necessary
- Compiling and issuing Annual Service Reviews (ASR) to clients
- Using appropriate systems to record all new business submissions to providers
- Recording all new business accurately on the iO (back-office system)
- Using iO to schedule follow-up tasks relating to business submissions
- Complete all tasks within iO workflows, ensuring the follow up of new business to ensure all applications are received, completed and actioned, and that outstanding queries are resolved, liaising with the paraplanning team and adviser as required
PERSON SPECIFICATION
- Proven experience in a financial Planning administrative / PAS role supporting financial professionals.
- Strong analysis skills with the ability to interpret financial data accurately.
- Excellent communication skills for liaising with clients and team members confidently.
- Demonstrated proficiency in IO and other financial packages.
- Prior experience in report writing and maintaining detailed documentation is highly desirable.
- Exceptional organizational skills with the ability to prioritize tasks effectively under tight deadlines.
- Customer service orientation with a professional attitude towards clients and colleagues alike.
- Familiarity with financial planning processes or related regulations is a plus but not mandatory.

Pay: £36,000.00-£45,000.00 per year
