About Ninth Quarter
Ninth Quarter is a growing Greater Manchester-based business delivering bespoke joinery installation, shopfitting, project management and maintenance services to luxury retail brands across the UK. Our projects are delivered across airports, department stores and commercial environments.
The Role
We are looking for an experienced part-time Office Administrator to provide day-to-day administrative and operational support to our Project Managers and Directors.
This is not an entry-level administration position. Applicants should have a minimum of 4 years' relevant office administration experience and be confident managing a varied workload independently in a busy working environment.
The role is hands-on and varied. You will support live projects, coordinate information between clients, suppliers and site teams, maintain project and compliance records, process commercial documentation and help ensure our teams have the information, travel, access and documentation they need.
The position is permanently office-based in Atherton, M46, working 09:00–15:00 Monday to Friday.
Key Responsibilities
- Provide day-to-day administrative support to Project Managers and Directors.
- Assist with the administration and coordination of multiple live projects.
- Liaise professionally with clients, suppliers, subcontractors and site teams.
- Raise, process and track purchase orders, invoices and delivery documentation.
- Maintain accurate project files, trackers, records and internal systems.
- Coordinate deliveries, logistics and project schedules.
- Book hotels, travel and other arrangements for site teams.
- Support airport security-clearance administration, including 5-year work-history checks, DBS documentation, training records and access requirements.
- Assist with reports, RAMS and other project/compliance documentation.
- Monitor shared inboxes and respond to or appropriately distribute correspondence.
- Proactively chase outstanding information, paperwork and actions.
- Provide general office administration as required.
Essential Experience & Skills
Please only apply if you meet the essential requirements below:
- Minimum 3 years' experience in a substantive office administration, project administration, contracts administration or operational support role.
- Previous experience handling business documentation such as purchase orders, invoices, delivery notes, orders, job records or similar commercial paperwork.
- Strong written and spoken English, with the ability to produce professional emails and communicate confidently with clients and suppliers.
- Competent user of Microsoft Outlook, Word and Excel.
- Strong organisational skills and the ability to manage several tasks and priorities simultaneously.
- High level of accuracy and attention to detail.
- Confident working independently and taking ownership of administrative tasks through to completion.
- Comfortable proactively chasing information and resolving routine issues without requiring continual supervision.
- Experience working in a busy professional office environment.
Particularly Relevant Experience
Experience in one or more of the following would be advantageous:
- Construction, shopfitting, engineering, facilities management, maintenance or logistics.
- Project or contracts administration.
- Purchase orders, invoicing and supplier coordination.
- Document control or compliance administration.
- DBS checks, employee work-history verification or security-clearance administration.
- Training records and employee compliance documentation.
- RAMS or construction/project documentation.
- Booking travel, accommodation or site access for mobile teams.
Previous airport experience is not required, and training on our specific systems and processes will be provided.
The Person
We are looking for someone who is dependable, organised and self-motivated, with the confidence and experience to take ownership of their workload.
You should be comfortable working in a small business where priorities can change quickly and where the administrator plays an important part in keeping projects and the wider office organised.
This role would suit an experienced administrator seeking stable part-time hours who enjoys being a key support function within a close-knit team.
