We are looking for a highly organised and detail-oriented Part-time Office Admin Assistant to join our busy back-office team. Key Responsibilities:
Administrative Support
- Assist managers and colleagues with a variety of administrative tasks.
- Draft, type, and produce documents accurately and promptly.
- Organise and maintain job folders, ensuring proper tracking and document storage.
- Prepare project folders and complete necessary forms and documentation.
- Manage diaries, schedules, and office records, including staffing information and personnel files.
- Handle ad-hoc administrative duties as assigned by the Office Services Manager.
Office Operations & Correspondence
- Organise regular office maintenance, including book cleaning, weeding service; lighting, heating, lockers, PPE checks, and restocking.
- Manage office supplies and equipment, ensuring a well-stocked workspace.
- Organise utility accounts and contract renewals.
- Greet visitors professionally and prepare drinks for customers.
- Arrange customer lunches when required.
- Answer and direct telephone calls professionally, taking messages when necessary.
- Process incoming and outgoing post and deliveries efficiently.
- Use Microsoft Word, document formatting, and case management software.
- Maintain records such as new starter profiles, contact lists, image consent forms, and server permissions.
- Work with field service management, CRM, or similar systems.
Requirements:
- Previous experience in an administrative role
- A UK driving licence
- Chinese Mandarin language skills (preferred but not required)
- Strong IT skills, including Microsoft Office and case management systems
- Excellent punctuality, time management, and organisational skills
- Strong interpersonal and communication abilities
- High level of initiative, resilience, and problem-solving skills
- Ability to work both independently and collaboratively in a team environment
Pay: From £12.71 per hour
