About the Role
We are looking for an organised, proactive and highly motivated Office Manager to oversee the smooth day-to-day running of our busy office. This is a varied role that requires excellent administrative, organisational and communication skills, with responsibility for supporting multiple departments including senior management, HR, finance, animal care, visitor services and fundraising.
No two days are the same, so we're looking for someone who enjoys juggling priorities, solving problems and ensuring everything runs efficiently behind the scenes.
Key Responsibilities
Office Administration
- Manage general office administration including emails, telephone enquiries and correspondence
- Provide administrative support to senior management and the PCS team
- Support the HR department, including preparing new starter documentation when required
- Maintain accurate filing systems and confidential records
- Management of adoption and office staff
- Manage complaints received by email and post, ensuring they are recorded and handled appropriately
- Order office supplies including toner and stationery
- Manage petty cash and maintain accurate records
- Provision of the first aid roster
- Monitor firearm licences
- Order staff uniform and monitor overall stock
- Coordinate ASDA orders & gift cards
Animal Care Administration
- Place and monitor weekly primate food orders
- Resolve supplier discrepancies and verify invoices
- Compare supplier pricing to achieve best value
- Monitor dry food and vitamin stock levels
- Maintain primate database
Adoptions & Supporter Services
- Prepare adoption reports and photograph.
- Process adoption renewals and expired adoption notifications
- Administer EAST adoptions
- Process online adoption and gift voucher orders
- Manage the Amazon Wish List
- Process cheque and cash donations
- Coordinate funeral donations, memorial bench sponsorships and ash scattering requests
Visitor & Customer Services
- Coordinate group bookings and meeting room hire
- Manage tour requests
- Provide administrative support for entrance gate documentation
- Update website images for primates
- Upload gift shop product photographs to the online shop
- Park and primate signage
About You
The successful candidate will have:
- Previous experience in an Office Manager or Senior Administrator role
- Outstanding organisational and time management skills
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- The ability to manage multiple tasks and changing priorities
- Excellent IT skills, including Microsoft Office
- Experience maintaining confidential records
- A positive, flexible and proactive approach
- The ability to work independently and as part of a team
- Excellent customer service skills
