Working from our facilities in Cardiff, our team of over 50 skilled craftspeople, scenic artists, fabricators, project managers and engineers deliver ambitious projects across the UK and internationally. Beyond theatre and opera, we have delivered scenery and staging for major live events and artists including Adele, Drake, ELO, SZA, Katy Perry, Little Mix, Fall Out Boy and many others. Our work also extends into exhibitions and immersive experiences, including helping bring the acclaimed Guccicosmos exhibition at 180 Studios in London to life.
As Bay Productions continues to grow, we are investing in our people, systems and processes to support the next stage of our journey. We are now looking for a Business Support & Administration Officer to play an important role in helping the business operate efficiently and support our senior leadership team.
The Role
This is a newly created position that sits at the heart of the business and offers exposure to every aspect of Bay Productions' operations.
Working closely with the Finance Manager and Board of Directors, you will help coordinate the day-to-day administration of a growing company, supporting finance, reporting, HR, office management and business operations.
We have entered an exciting new chapter in a growth journey with new investment to support the continued expansion of the business. This role has been created to help support those requirements by ensuring information is gathered, organised and maintained accurately, while also taking ownership of a range of administrative responsibilities that currently sit within the finance function.
While the role works closely with finance, this is not an accounting position. We are looking for someone who enjoys organising information, improving processes and helping people work more effectively. Training and support will be provided, making this an excellent opportunity for someone looking to develop their skills within a growing and ambitious company.
Key Responsibilities
Business & Operational Support
- Provide day-to-day administrative support to the Finance Manager and Board of Directors.
- Assist with the preparation, organisation and distribution of management information and business reports.
- Support in preparation of reports, presentations and spreadsheets for internal use.
- Maintain accurate records, databases and company documentation.
- Manage company filing systems and document control processes.
- Arrange travel, accommodation and meeting logistics when required.
- Support wider business improvement initiatives and administrative projects.
Finance & Reporting Support
- Assist with the preparation and collation of information required for management reporting and banking requirements.
- Support the Finance Manager in gathering and organising business performance data.
- Maintain accurate financial and operational records.
- Assist with purchase order administration, supplier records and invoice processing.
- Help prepare reports and spreadsheets to support budgeting, forecasting and business analysis.
- Support the ongoing development of processes, systems and reporting procedures.
HR & Office Administration
- Support employee onboarding and HR administration processes.
- Maintain personnel records and confidential company information.
- Assist with company policies, procedures and compliance documentation.
- Coordinate office supplies, facilities and general administrative requirements.
- Act as a professional point of contact for visitors, suppliers and external stakeholders.
- Support the smooth day-to-day operation of the office and wider business.
Skills & Experience
Essential
- Previous experience in an administrative, business support or office management role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Good Microsoft Office skills, particularly Excel, Outlook and Word.
- Ability to work confidently with data, reports and business information.
- Strong written and verbal communication skills.
- Ability to prioritise workload and manage multiple tasks.
- Professional, trustworthy and discreet when handling confidential information.
Desirable
- Experience supporting finance, operations or reporting functions.
- Experience working within a growing SME environment.
- Experience using accounting or business management systems.
- Experience supporting HR or office management activities.
- Experience in construction, manufacturing, creative industries or project-based businesses.
