Pelican Yutong is wholly owned by Pelican Engineering Co. Ltd which was established in 1919 and is a successful family business with over 230 employees across multiple sites. We are committed to continuous development of our people and due to consistent growth we are now seeking x2 Administrators for our Yutong operation.
We are looking for experienced ADMINISTRATORS, preferably with an automotive or transport related background, although excellent admin skills are the main priority.
The Role:
We have 2 roles, varying slightly.
Service Desk Administrator and Office Administrator
The roles provide essential administrative support to our field service operation, ensuring that warranty claims, timesheets, invoicing and customer records are processed accurately and efficiently. You will work closely with Field Service Engineers, customers and internal teams, helping to ensure jobs progress smoothly from initial service through to final completion.
This is an ideal role for someone who enjoys a varied workload, is confident communicating with people at all levels and takes pride in getting the details right.
Key Responsibilities
- Processing and administering warranty claims, ensuring all required information and supporting documentation is accurate and complete.
- Reviewing and processing Field Service Engineer timesheets, checking hours, job details and supporting information.
- Preparing and raising invoices for jobs at the final stage of completion, ensuring all costs and relevant information are captured correctly.
- Liaising with Field Service Engineers to obtain missing information, clarify job details and ensure paperwork is completed promptly.
- Communicating with Customers regarding service jobs, documentation, invoicing and warranty requirements.
- Monitoring outstanding jobs and following up to ensure they progress through to completion.
- Maintaining accurate and up-to-date service records and administrative systems.
- Checking documentation carefully to identify discrepancies or missing information before claims and invoices are submitted.
- Supporting the Service Team with general administration and ensuring processes are followed consistently.
- Working collaboratively with colleagues across the business to provide an efficient and professional service to customers.
About You
We are looking for someone who is:

- Comfortable working with figures, paperwork and administrative systems.
- Able to manage multiple tasks and priorities in a busy service environment.
- A confident communicator who can liaise professionally with both customers and engineers.
- Proactive in following up outstanding information and resolving issues.
- Accurate and methodical, with a strong focus on getting things right first time.
- IT literate and confident using Microsoft Office, particularly Excel and Outlook.
- Able to work independently while also being a strong team player.
- Reliable, professional and able to maintain a high standard of confidentiality and accuracy.
Desirable Experience
Experience in any of the following would be advantageous:
- Service or aftersales administration.
- Warranty claims processing.
- Invoicing or accounts administration.
- Working with field-based engineers or mobile service teams.
- The automotive, commercial vehicle, bus, coach or engineering sectors.
