Job Specification
We are a privately owned company looking for a Part-Time Property Administrator to support the management of our portfolio of residential properties across London, Surrey and the South East. The successful candidate will work closely with our Property Manager, supporting the day-to-day administration of the portfolio, while also assisting the Director with wider property administration.
We are a small, hard-working team looking for someone who will fit well within the business. Personality and work ethic are just as important to us as experience. We value initiative, reliability and a willingness to learn, and we're happy to support the right person as they develop their skills.
We own, actively manage and refurbish our own property portfolio, meaning you’ll gain exposure to a broad range of property management activities rather than working in a traditional lettings office.
Salary: £18,000-£20,000 per annum, depending upon experience
Basis: Part-Time Fixed-Term Contract (12 months), with the potential for extension subject to performance and business requirements
Hours: Approximately 24 hours per week, typically across three days, although we can offer some flexibility for the right candidate. There is potential for the role to grow over time depending on the needs of the portfolio.
We work from our Woking office Tuesday to Thursday, with Mondays and Fridays generally being remote. The successful candidate will primarily work alongside the team in the office, particularly during the initial training period.
Key Responsibilities
Tenancy & Property Administration
- Issuing APTs and Section 13 notices for signature
- Maintaining tenancy records and digital property files
- Registering tenancy deposits and manufacturer warranties for appliances
- Arranging check-ins, check-outs, and cleaning appointments
Maintenance & Compliance
- Logging and tracking maintenance issues
- Tracking and arranging compliance documentation including Gas Safety Certificates, EICRs, EPCs, and Smoke/CO Alarm records.
- Updating internal property schedules and records
Portfolio Administration
- Adding auction dates and key deadlines into the shared calendar
- Arranging key cutting and maintaining key records
- Scheduling deposit deductions

As your experience develops, responsibilities may include:
- Co-ordinating low level repair requests with contractors
- Conducting annual property visits and reporting on maintenance or compliance issues
- Assisting with property sales documentation
- Working alongside the Property Manager to oversee the day to day running of the portfolio
As your responsibilities increase, your salary will be reviewed accordingly to reflect your experience, contribution and the responsibilities you take on within the business.
Skills & Experience
- Previous administration experience is essential
- Experience of compliance tracking and/or working with residential property or lettings would be advantageous
- Excellent organisational and time management skills
- Strong communication and telephone manner
- Ability to prioritise and manage multiple tasks
- Good working knowledge of Outlook, Word, and Excel
- Familiarity with Monday.com is beneficial
- Full UK driving licence and access to your own vehicle are essential
