About the role
We are looking for an organised, proactive and personable Administration & Compliance Assistant to join our growing block management company.
This is a varied role combining day-to-day administration, property management support, client communication and compliance. You will play an important part in ensuring our managed properties are well organised, our clients receive a high standard of service, and our compliance responsibilities are kept up to date.
We are looking for someone who enjoys being organised, takes pride in their work and is confident communicating with leaseholders, contractors, clients and colleagues.
Key responsibilities
Administration & Property Management
- Providing administrative support to the block management team.
- Assisting with the day-to-day management of residential blocks and developments.
- Maintaining accurate property, leaseholder and contractor records.
- Preparing and issuing correspondence, notices and general communications.
- Assisting with arranging contractors, repairs and maintenance.
- Liaising with contractors and following up outstanding works.
- Responding to leaseholder and client enquiries in a professional and helpful manner.
- Assisting with service charge administration and general property management tasks.
- Organising meetings, taking notes/minutes and following up actions where required.
- Maintaining organised electronic and paper filing systems.
Compliance
- Maintaining compliance records for managed properties.
- Monitoring key compliance dates and ensuring inspections, certificates and renewals are completed on time.
- Assisting with the management of health & safety requirements across our properties.
- Maintaining records relating to areas such as fire safety, asbestos, electrical safety, water hygiene and other relevant property compliance requirements.
- Liaising with contractors and specialist compliance providers.
- Requesting, checking and filing compliance certificates and reports.
- Maintaining compliance trackers and highlighting upcoming or outstanding actions to the management team.
- Ensuring documentation is accurate, current and readily accessible.
- Supporting the company in keeping up to date with changes to relevant property management legislation and regulations.
About you
We are looking for someone who is:
- Highly organised with excellent attention to detail.
- Confident communicating both verbally and in writing.
- Professional, friendly and approachable.
- Comfortable dealing with different people, including leaseholders, clients and contractors.
- Able to manage multiple tasks and prioritise effectively.
- Proactive and able to work independently.
- Confident using Microsoft Office, particularly Outlook and Excel.
- Comfortable working with procedures, deadlines and compliance requirements.
- A good problem solver who is willing to take ownership of tasks.
- Reliable and committed to providing a high standard of service.
Experience
Previous experience in property management, block management, compliance, facilities management, administration or a similar environment would be advantageous.
However, we are also happy to consider someone with strong administrative experience who is keen to develop their knowledge of the property management and compliance sector.
Training will be provided, so the right attitude, organisation and willingness to learn are just as important as previous industry experience.
