Experienced Conveyancing Legal Secretary / Conveyancing Assistant
Monday to Friday | 9:00am–5:00pm
About the Role
We are looking for an experienced Conveyancing Legal Secretary / Conveyancing Assistant to join our busy and friendly property team.
This role is specifically suited to someone who already has good practical knowledge of the residential conveyancing process, is confident working independently and is now looking for the opportunity to progress towards becoming a Conveyancer.
You may currently be working as a Legal Secretary, Conveyancing Secretary or experienced Conveyancing Assistant and feel ready to take the next step in your career.
You will need to be comfortable managing your own workload, progressing matters without constant supervision and understanding what needs to happen at the different stages of a conveyancing transaction.
While the role will initially involve supporting a Conveyancer, our aim is to give the successful candidate the opportunity to develop their technical knowledge, take on increasing responsibility and progress towards handling their own conveyancing matters.
Key Responsibilities
Your responsibilities will include:
- Opening and setting up new conveyancing files
- Carrying out client ID verification and AML checks independently
- Preparing and issuing client care documentation
- Obtaining title documents and reviewing basic title information
- Requesting searches and monitoring results
- Preparing and managing conveyancing documentation
- Liaising directly with clients, estate agents, mortgage brokers, solicitors and other parties
- Dealing confidently with telephone and email enquiries
- Maintaining and progressing files through the case management system
- Keeping clients and other parties updated throughout transactions
- Assisting with sales, purchases and other residential conveyancing matters
- Preparing and submitting SDLT returns
- Assisting with completion and post-completion requirements
- Dealing with Land Registry requisitions where appropriate
- Identifying outstanding matters and taking appropriate action to progress files
- Managing deadlines and ensuring files are kept accurate and up to date
- Providing general support to the Conveyancer where required
As your knowledge and confidence develop, you will be given the opportunity to take greater ownership of transactions and become involved in more technical aspects of the conveyancing process.
Essential Experience
This is not an entry-level position. Previous residential conveyancing experience is essential.
We are looking for someone who:
- Has experience working as a Conveyancing Legal Secretary, Conveyancing Secretary, Conveyancing Assistant or similar
- Has a good working knowledge of the residential conveyancing process
- Understands the key stages of a sale and purchase transaction
- Is confident carrying out AML and client ID checks
- Has experience working with conveyancing documentation and case management systems
- Can confidently communicate with clients and other professionals
- Is capable of working independently and using their own initiative
- Can identify what needs to be done to progress a transaction rather than simply waiting for instructions
- Has excellent organisational skills and attention to detail
- Can prioritise a busy workload and work to deadlines
Career Progression
A key part of this opportunity is career development.
We are particularly interested in hearing from experienced legal secretaries and conveyancing assistants who have built up strong practical knowledge but want the opportunity to progress beyond a traditional secretarial or administrative position.
You will work alongside an experienced Conveyancer and have the opportunity to broaden your knowledge across different areas of residential conveyancing.
As you demonstrate your ability, you will be encouraged to take on increasing responsibility for files and transactions, with the aim of developing the skills and experience required to progress towards a Conveyancer role.
We are therefore looking for someone who doesn't simply want another secretarial position, but who is ambitious, keen to learn and ready to take the next step in their conveyancing career.
Personal Attributes
The successful candidate will be:
- Confident and able to work independently
- Proactive and comfortable using their own initiative
- Highly organised with excellent attention to detail
- Professional when dealing with clients and other parties
- Reliable and conscientious
- Comfortable working in a busy, fast-paced conveyancing environment
- Keen to learn and take on additional responsibility
- Motivated to develop towards becoming a Conveyancer
