Overview
The Project Support Officer will provide communications, administrative, financial and project support to ICBAN, with a particular focus on the delivery of the PEACEPLUS-funded BRIDGE project, while also contributing to wider Core ICBAN communications and administration requirements. This will include assisting with PEACEPLUS and other cross-border projects, supporting organisational communications, and helping to maintain effective administrative systems across ICBAN’s wider programme of work.
Responsibilities
1. Lead on coordinating the delivery of the BRIDGE project within ICBAN, while also supporting wider organisational and project delivery as required.
2. Support BRIDGE project communications activity in conjunction with the BRIDGE Project Coordinator, ICBAN colleagues, ICBAN member councils and appointed delivery agents.
3. Assist with the updating of project and organisational webpages, newsletters and social media channels, communications materials, stakeholder updates and publicity activity in line with funder, programme and ICBAN requirements.
4. Support ICBAN’s wider communications and stakeholder engagement activity, including assisting with briefings, case studies, event materials, press-related content and updates linked to PEACEPLUS projects and other cross-border initiatives.
5. Assist in the coordination of cross-border training sessions, governance workshops, capacity-building events, networking activities and other engagement opportunities, including logistical arrangements, participant communications and event records.
6. Organise and service relevant meetings, including project meetings, sub-group meetings and internal ICBAN working meetings; prepare papers, record and draft notes of proceedings, and follow up on agreed actions.
7. Support project financial administration, including maintaining financial records, processing documentation and assisting with the administration of project financial control systems for BRIDGE and, where required, other ICBAN projects.
8. Collate financial information for budget planning, spend forecasts and monitoring purposes and liaise with service providers, partners and colleagues to obtain supporting information as required.
9. Support procurement activity, including assisting with the drafting of specifications / Terms of Reference, requests for quotation and associated procurement records, in accordance with programme and organisational guidelines.
10. Prepare and submit ICBAN’s BRIDGE project reports, funding claims, monitoring returns and supporting documentation in line with funder and Lead Partner requirements and deadlines, and assist with similar returns for other projects where required.
11. Liaise with External Financial Controllers and manage follow-up queries, audit visits and requests for information from funders, programme bodies and auditors as required.
12. Assist BRIDGE and other project teams in managing and maintaining monitoring and evaluation processes, including project activity within the Central Border Region.
13. Gather, compile and analyse data, information and documentation to assist with reports to funders, project structures, ICBAN management, ICBAN Management Board and other key stakeholders.
14. Maintain, organise and develop computerised project and organisational filing systems, ensuring retention of documentation in line with programme, audit and organisational requirements.
15. Provide general support to the ICBAN team in the delivery of organisational and project-related activities, including assisting with administrative, coordination and communications tasks as required.
16. Any other duties that may reasonably be assigned without altering the general character of the post.
Essential Criteria
- Evidence of right to live and work in the UK to at least 30th September 2028
- A third level qualification
- Experience in project communications and marketing.
- Proven experience in project administration including financial admin and progress reporting.

The ‘Bridge’ project is supported by PEACEPLUS, a programme managed by the Special EU Programmes Body (SEUPB). This is a fixed term position until 30 September 2028. ICBAN aims to secure further funded projects beyond this date and every effort will be made to provide continuity of employment beyond project completion dates, however this cannot be guaranteed.
Pay: £34,434.00-£36,363.00 per year
