Volunteer Squadron Administration Assistant
Overview
402 (Gravesend) Squadron is seeking an organised and dependable volunteer to support the routine administration of our growing Royal Air Force Air Cadet unit.
Working as part of the team, the Administration Assistant will help ensure that records, correspondence, returns, joining processes and routine administrative tasks are completed accurately and on time. The Administration Assistant will also assist the deputy Officer Commanding with the management of finance in the Squadron, including payments, receipts and procurement.
The role supports the Squadron’s adult volunteers so that they can focus more of their time on providing training and opportunities for young people. There is also scope within this role to support delivery of training and experience for the cadets of Gravesend and the Squadron is keen to champion the progression of its staff.
This is an unpaid volunteer position. No military, aviation or previous cadet experience is required. Induction, training and ongoing support will be provided.
Main responsibilities
- Support the administration of new cadet intakes, including preparing joining information and tracking required forms.
- Respond to, record and appropriately route routine enquiries from parents, prospective cadets and members of the public.
- Prepare registers, nominal rolls, letters, notices and other routine documents.
- Maintain organised electronic records and filing systems using approved RAF Air Cadets platforms.
- Assist with routine correspondence and parent communications.
- Track outstanding forms, applications, actions and deadlines.
- Support the preparation and administration of Squadron activities and events.
- Assist with meeting agendas, minutes and action records where required.
- Help maintain standard document templates and administrative processes.
- Work with the Executive Officer and other nominated staff to identify opportunities to improve administrative efficiency.
Person specification
We are looking for someone who is:
- Organised, reliable and attentive to detail.
- Comfortable using email and standard office software.
- Able to communicate professionally with adults and young people.
- Able to handle information discreetly and confidentially.
- Willing to follow established procedures and work as part of a volunteer team.
- Interested in supporting young people and contributing to the local community.
Experience in administration, education, customer service, reception, human resources, office management or a similar environment would be useful, but it is not essential.
Commitment
The commitment can be agreed around the volunteer’s availability and is expected to average approximately 5-8 hours per month, including occasional attendance on a Wednesday or Friday evening.
The appointment will be subject to the normal RAF Air Cadets application, suitability, safeguarding and vetting processes.
Pay: £0.01 per year
