Are you the person people come to when they cannot get a document, PDF or computer to behave?
We are looking for a Business Support Administrator with excellent practical computer skills to join Legasea. This is a varied role combining client document production, business administration and straightforward first-line IT support.
About the role
This is not a conventional administration role. A key part of the job is producing and assembling client document packs and Material Record Books (MRBs), using PowerPoint, PDF software and approved project documentation to create accurate, professional final deliverables.
You will also maintain routine business records, provide day-to-day administrative support and act as a first point of contact for straightforward IT and office-technology issues.
What you will be doing
Produce, format and assemble client document packs and MRBs using approved project documentation.
Build and update PowerPoint-based document packs; convert files to PDF; combine and organise supporting documents into professional final deliverables.
Check page order, presentation, file naming, legibility and obvious omissions or duplication before packs are submitted for final review and issue.
Identify missing, duplicate or apparently incorrect documentation and refer queries to the appropriate project, quality or document-control colleague.
Update employee timekeeping records accurately and follow up discrepancies where required.
Place approved orders for office supplies and routine business requirements, and provide routine purchasing support or cover when needed.
Set up computers and workstations for new employees, including monitors, docking stations, printers, peripherals and approved software.
Provide first-line help with common Windows, Microsoft 365, printing, display, connectivity and peripheral issues, escalating specialist matters when appropriate.
Help colleagues with Word, Excel, PowerPoint, PDF software, file management and other approved business systems.
Create simple guides, templates and checklists, and identify practical opportunities to simplify, standardise or automate repetitive administrative and document-production tasks.
Provide general administrative and document-production support to the Operations Director and wider Legasea team.
What matters most
Strong practical computer skills are essential. You should be highly confident using Microsoft 365, particularly PowerPoint, Word and Excel, and comfortable creating, editing, combining and checking PDF documents.
You do not need to be an IT engineer, but you should be comfortable with Windows PCs and everyday office technology and have a logical approach to troubleshooting.
What we are looking for
Highly computer literate and quick to learn new software.
Very comfortable working with PowerPoint, Word, Excel and PDFs.
Accurate, methodical and organised, with strong file-management habits.
A logical problem solver who can troubleshoot straightforward computer and office-technology issues.
Able to work independently, manage competing priorities and take ownership of routine but important work.
Patient and approachable when helping colleagues who may be less confident with computers.
Process-minded and interested in making repetitive tasks quicker, simpler and more consistent.
Good written and verbal communication skills, with appropriate discretion when handling confidential information.
Useful, but not essential
Experience in administration, business support, document production or junior IT support.
Experience producing PowerPoint-based reports or documentation and assembling PDF packs.
Experience maintaining timekeeping or other routine business records.
Experience raising routine purchase orders or placing business orders.
Experience setting up computers, monitors, docking stations or printers.
Experience in engineering, energy, oil & gas or another document-intensive environment.
Who could this role suit?
We are open-minded about background. You might be an administrator who is the person everyone comes to when they have a computer problem, someone in junior IT support who wants a broader business role, or someone who has recently completed an apprenticeship, HNC/HND, college or university course.
A degree is not required. What matters is strong practical computer ability, excellent attention to detail and the ability to learn quickly.
Working at Legasea
The role is full-time at 37.5 hours per week and includes flexitime and private healthcare. Legasea operates in a fast-paced, client-responsive environment, so you will need to be comfortable changing priorities when required and working with colleagues across the business.
We are passionate about the Circular Economy and reducing waste, and you will be joining a team focused on extending the productive life of subsea equipment and materials.
Recruitment process
Because practical computer ability is particularly important for this position, shortlisted candidates will complete a short practical computer exercise as part of the interview process. The exercise will use tasks representative of the role, such as working with PowerPoint and PDFs, organising documents and explaining how you would approach a straightforward computer problem.
How to apply
Apply through Indeed with your CV. A short note outlining the computer/software skills you use regularly is welcome but not essential.
