Full job description

Operations & Commercial Coordinator

We are a local building company who specialise in older properties, modern contemporary extensions and small works. Some of our clients include, The National Trust and Diocese of Exeter, additionally we work with private clients to undertake, repairs, renovations, refurbishments and building of extensions on individual properties. Due to increasing levels of enquiries and two new high profile clients, we are looking to recruit an Operations and Commercial administrator.

Job Overview

We are seeking an organised and proactive Operations & Commercial Coordinator to support the daily running of office operations, project coordination and commercial activities within a busy construction environment. The role requires strong organisational skills, attention to detail and the ability to manage multiple priorities in a fast-paced setting.

The successful candidate will work closely with directors, project managers, site operatives, clients, consultants, suppliers and subcontractors to ensure projects are delivered efficiently, on time and within budget. Experience within the construction industry is preferred but not essential, with a willingness to learn and adapt being key to the role.

Ideally, we are looking for someone in a full time, office-based role, but we are open to discuss flexibility.

Key Responsibilities

Office & Operations Management

Coordinate daily communication with site operatives, responding to queries, providing updates and monitoring workforce movements.
Maintain weekly work schedules, ensuring teams are allocated correctly and updating internal planning boards.
Manage the day-to-day running of the office, including handling phone calls, general administration and maintaining an organised working environment.
Manage ordering of company uniforms, PPE and general office/site requirements.
Ensure PPE stocks are maintained and available for site teams.

Procurement & Supplier Management

Supporting senior managers with procurement of materials, hire of plant and machinery
Supporting with the tracking deliveries, chase outstanding orders and ensuringnmaterials and plant arrive on site when required.
Obtain quotations from subcontractors and suppliers, review information received and maintain communication throughout projects.

Commercial & Cost Management

Review project budgets and monitor costs to ensure projects remain within agreed financial limits.
Prepare and issue variations, cost updates and budget information to clients and design teams.
Review timesheets and ensure client charges accurately reflect completed works.
Assist with quantity surveying duties, including reviewing drawings, measuring requirements and assessing material quantities for projects.
Prepare schedules of works for smaller projects and assist directors/sales team with larger project documentation.

Project Coordination & Documentation

Support sales team and project managers with preparation of project programmes and planning.
Support project managers to prepare contractor reports for architect and client valuation meetings.
Attend site visits and valuation meetings.
Supporting project managers to prepare and manage contract documentation for larger projects such as reviewing architectural drawings and specifications, preparing tender submissions and organising records, ensuring accounts and documentation are closed correctly
Set up new project codes and job records for incoming projects, ensuring all relevant information, documentation and cost tracking details are accurately recorded from project commencement.

Client, Consultant & Site Communication

Maintain regular communication with clients regarding project updates, site activities, deliveries and programme changes.
Liaise with architects, building control officers and other consultants.
Evidencing requirements set by building control
Coordinate subcontractors and follow up on outstanding information or requirements.

Health & Safety Administration

Assist with preparation of Construction Phase Plans, Risk Assessments and Method Statements in conjunction with external health and safety advisors.
Ensure required project documentation is prepared and available before works commence.

Skills & Experience Required

Experience working within a fast-paced operational or construction environment.
Strong organisational and time management skills with the ability to manage multiple tasks.
Good working knowledge of Microsoft Office packages, including Word, Excel and Outlook.
Experience within the building/construction industry is desirable but not essential.
Willingness to learn and understand construction drawings, specifications and project requirements.
Strong communication skills with the ability to liaise confidently with clients, suppliers, subcontractors and site teams.
Ability to work independently under supervision and use initiative when required.
Willingness to learn, adapt quickly and support changing business needs.
Positive, practical approach with strong attention to detail.
