We are looking for an experienced, highly organised and proactive Contracts & Installations Manager to join our growing roofing and insulation business.
This is a key role within the company and will be responsible for managing our contracts and coordinating projects from the point of sale through to successful installation and completion.
You will act as the central point of contact between customers, office staff, installation teams, suppliers and management, ensuring that every job is properly organised, communicated and delivered efficiently.
The ideal candidate will be someone who takes ownership, has excellent organisational and communication skills, can solve problems quickly, and is comfortable managing multiple jobs and priorities at the same time.
This is not simply an administration role. We are looking for someone who can take responsibility for the smooth running of our installation operation and make sure jobs are completed on time, to a high standard and in a cost-effective manner.
Key ResponsibilitiesContract & CRM Management
- Take ownership of all new contracts once they have been agreed and signed.
- Accurately enter and maintain customer and contract information within the company CRM.
- Ensure all relevant job information, specifications, photographs, measurements, notes and documentation are recorded correctly.
- Review contracts before installation to ensure everything required to complete the job is understood and available.
- Track each contract through its various stages from signed agreement to completed installation.
- Keep the CRM fully up to date at all times.
- Maintain accurate records of installation dates, customer communications, materials, variations, issues and completion status.
- Identify any missing information or potential problems before they affect the installation.
Customer Liaison
- Act as a key point of contact for customers following the signing of their contract.
- Contact customers to arrange and confirm installation dates.
- Keep customers informed throughout the installation process.
- Deal professionally with customer queries, changes and concerns.
- Manage customer issues and complaints promptly and professionally.
- Liaise with customers regarding access requirements, preparation work, installation dates and any changes to the agreed programme.
- Follow up after installations where necessary to ensure customer satisfaction.
- Escalate significant complaints or technical issues to management when appropriate.
Installation Team Management & Scheduling
- Plan and schedule installation work efficiently across the available teams.
- Liaise directly with installation teams and subcontractors regarding upcoming jobs.
- Dispatch the right team for each job based on skills, availability, location and job requirements.
- Ensure teams have all necessary information before attending site.
- Coordinate multiple installation teams and jobs simultaneously.
- Minimise unnecessary travel, downtime and gaps between installations.
- Build efficient installation schedules that maximise team productivity while maintaining a high level of customer service.
- Reorganise schedules quickly when cancellations, delays, weather or unforeseen issues occur.
- Maintain regular communication with installation teams throughout the working day.
- Monitor job progress and ensure installations remain on schedule.
Materials & Supplies
- Ensure installation teams have all required materials, equipment and supplies before attending each job.
- Review upcoming jobs and identify material requirements in advance.
- Liaise with suppliers and arrange the delivery or collection of materials.
- Monitor stock levels of commonly used materials and consumables.
- Avoid situations where teams arrive on site without the materials required to complete the work.
- Source materials in a cost-effective manner while maintaining appropriate quality.
- Coordinate deliveries to sites where appropriate.
- Keep accurate records of material requirements and deliveries.
- Identify recurring supply issues and work with management to improve purchasing and stock control.
Job Cost Control
- Help ensure installations are completed as efficiently and cost-effectively as possible.
- Monitor labour, material and logistical requirements for each job.
- Avoid unnecessary return visits, wasted materials and inefficient scheduling.
- Consider geographical location when planning teams and installations to reduce unnecessary travel costs.
- Identify potential additional costs before they occur wherever possible.
- Report significant variations or unexpected costs to management.
- Work with management to continually improve installation margins and operational efficiency.
Installation Issues & Problem Solving
- Take ownership of problems that arise before, during or after installation.
- Liaise with customers and installation teams to understand and resolve issues.
- Arrange return visits or remedial work where necessary.
- Coordinate replacement materials or additional resources when required.
- Escalate technical, contractual or serious customer issues to management.
- Keep clear records of all issues and the actions taken to resolve them.
- Ensure problems are followed through to completion rather than simply passed on to someone else.
General Office & Administration
- Provide general administrative support to the day-to-day running of the business.
- Maintain accurate digital and paper records.
- Manage job documentation and installation paperwork.
- Assist with invoicing, completion documentation and other administrative processes where required.
- Monitor outstanding actions and ensure they are followed up.
- Assist management with reports, spreadsheets and operational information.
- Maintain organised filing systems and ensure important information is easily accessible.
- Support the wider office team with general administrative tasks when required.
What We Are Looking For
We are looking for someone who is organised, reliable, commercially aware and able to take ownership.
You will ideally have experience in a similar role involving operations, contracts, scheduling, installations, construction, roofing, insulation, home improvements, property services, logistics or customer service.
